POSITION DUTIES

The main purpose of this supervisory level position is to supervise and assist staff within the Administration Unit of the Administration, Correspondence, and Employee Education Section (ACE) for Taxpayer Services Division (TSD). This position supervises a team responsible for accurate and timely completion of administrative and procurement functions for the sections within TSD. The incumbent will supervise and review staff human resources functions while maintaining confidentiality of personnel-related activities as the division needs. The position is responsible for preparing daily, weekly, and monthly reports, assisting with interviews, training personnel and onboarding personnel for the division. The incumbent will learn the duties of the Manager and all related operational tasks pertaining to the unit. Supervisors are responsible for all personnel issues of their subordinate staff. Employees in this classification supervise Administrative Aide, Administrative Officer, Administrative Specialist and contractual and temporary employees. Evaluate the performance of employees supervised, directly or indirectly, and complete required paperwork in accordance with State Law and personnel policy as it relates to PEP. Employees in this classification receive general supervision from unit manager other higher-level program managers. Incumbents who successfully complete their probationary period can be considered for telework.

PLEASE NOTE: Evening and weekend work may be required especially during peak times of the year.
MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Four years of administrative staff or professional work.

Notes:

Candidates may substitute 30 college credit hours from an accredited college or university for each year up to four years of the required experience.
Candidates may substitute the possession of a Bachelor’s degree from an accredited college or university for the required experience.
Candidates may substitute the possession of a Master’s degree from an accredited college or university for the required experience.
Candidates may substitute U.S. Armed Forces military service experience as a commissioned officer involving staff work related to the administration of rules, regulations, policy, procedures and processes, or overseeing or coordinating unit operations or functioning as a staff assistant to a higher ranking commissioned officer on a year-for- year basis for the required experience.

LIMITATIONS ON SELECTION
Leave may be limited during certain times of the year due to high volume events, projects or special assignments. Work may involve special physical demands such as lifting 25 to 35 pounds.
Employees are unable to prepare tax returns outside of the requirements of the job or work for private accounting services.
Employees must be able to tolerate an occasional uncomfortable or unpleasant experience presented by upset or irate taxpayers.
Employees are eligible to telework as approved by management.
Work requires possession of a valid driver’s license and will require operation of a personal automobile and traveling to various offices within the State.
SPECIAL REQUIREMENTS
Please note: Administrative Staff experience differs from general administrative experience. Administrative staff encompasses discretion and independent judgment directly related to policies, operations, or supervision of personnel. A candidate with administrative staff experience will demonstrate the ability to identify the root cause of issues, develop alternative courses of action and implement new policies or procedures. General administrative experience is routine support work that is often present in administrative assistant or other office roles.
