Summary
The Central Administration Coordinator plays a vital role in supporting cross-functional teams such as Billing, Contracts, and Commissions by providing high-level administrative support, ensuring data accuracy, and driving process efficiency. This role is responsible for managing customer interactions, maintaining accurate records, coordinating departmental activities, and supporting key business functions such as invoicing, data entry, reporting, and communication. The ideal candidate is detail-oriented, organized, and thrives in a fast-paced, team-oriented environment.
Essential Functions
Accurately enter and manage data in company systems (e.g., customer records, contracts, invoices, reports).
Review and process internal documentation such service tasks, payment records, and contracts for completeness and accuracy.
Coordinate scheduling, appointments, and follow-ups across departments including Sales, Service, and Customer Relations.
Provide prompt and professional communication to internal teams and external customers via phone, email, or web inquiries.
Assist with generation and distribution of reports, including invoicing status, and commission tracking.
Maintain compliance with internal procedures and contribute to month-end closing tasks, such as finalizing unbilled dispatches or processing adjustments.
Support contract lifecycle activities including pricing updates, renewals, and accurate recordkeeping.
Collaborate with field technicians, Home Comfort Advisors, and CSRs to resolve customer issues and ensure seamless service delivery.
Perform other administrative duties and special projects as assigned.
Qualifications
High school diploma or GED required, additional education in business, accounting, or office administration preferred.
2+ years of experience in administrative, billing, sales support, and customer service roles.
Strong organizational and time-management skills with the ability to manage multiple priorities.
High level of accuracy, attention to detail, and confidentiality.
Proficient in Microsoft Office Suite, especially Excel; experience with Service Titan or similar platforms a plus.
Strong written and verbal communication skills.
Ability to work collaboratively across departments with a professional, solution-oriented attitude.
Self-starter who takes initiative and ownership of responsibilities in a dynamic environment
