The Administrative Assistant and Receptionist is a member of the Student Life team, working with direction from the Student Life Office Manager. The Administrative Assistant and Receptionist provides exceptional customer service assisting parents, students, and fellow employees as well as administrative support to the Student Life team.
ABOUT THE POSITION
Responsibilities include, but are not limited to:
Answer phones, direct calls, and greet visitors as needed at the reception desk.
Maintain the calendars for the Dean of Students, Deans on Community Life, Campus Life and DEI.
Collate and distribute employee and student mail.
Assign faculty and student mailboxes and day student lockers.
Maintain student housing maps.
Update the emergency to-go book annually as needed.
Maintain the Academy’s lost -and-found.
Manage the faculty and student incoming package system.
Prepare and distribute the digital Bulletin twice a week while school is in session.
Assist the Assistant Head of School and SLO Administrators to revise and upload to portal documents.
Maintain vehicle Outlook calendar.
Assist with monthly submission of purchasing card report.
Prepare, send, and file correspondence and student lists.
Assist with social media (WhatsApp, WeChat) communication as assigned.
Create and maintain filing and database systems, both electronic and physical in a confidential manner.
Perform data entry duties as needed.
Assist the Student Life Office administrators as requested.
Assist Administrators On Call (AOC) as needed.
Other duties as assigned.
QUALIFICATIONS

Maintain a positive, solution-based attitude when faced with challenges and remain flexible.
Proficient in Microsoft Office and Google software.
Willingness to learn REACH boarding school leave software and the BlackBaud K-12 educational portal.
Trustworthy – able to maintain confidential information as appropriate.
Strong organizational skills – the ability to balance multiple projects and changing priorities without losing focus.
Able to independently prioritize competing and changing demands in a face-paced office.
Excellent verbal and written communication skills.
Able to work in a complex team-oriented environment in order to accomplish department goals and objectives.
A willingness to help others in various departments throughout the school as necessary.
Able to follow and complete detailed verbal and written instructions within specified timeframes.
Able to lift and move 50 pound packages with the use of a dolly.
Able to perform assigned duties with speed and accuracy.
Able to accept feed positively with a growth mindset orientation.
Proven record of attendance and punctuality.
HOURS OF WORK: The position is year-round and full-time. The typical expectation is a 40-hour work week with a half-day on Saturday while school is in session.
