What You'll Do

Administrative Support to the CMO

  • Provide comprehensive administrative support to the Chief Medical Officer, including calendar management, meeting coordination, and preparation of materials.
  • Draft, proofread, and format correspondence, presentations, reports as directed.
  • Organize and maintain both physical and electronic filing systems to ensure easy retrieval of records and documents.
  • Maintain strict confidentiality and exercise sound judgment when handling sensitive clinical, personnel, and business information.

Administrative Support to the Director of Provider Recruiting

  • Coordinate physician and provider candidate visits, including travel arrangements, itineraries, interview schedules, and hospital or site tours.
  • Assist with onboarding-related administrative tasks for new providers.
  • Prepare check requests and support financial processes related to provider candidates. Maintain accurate records related to provider recruitment activities and candidate status utilizing Crelate.

Other Office Administrative Support

  • Serve as backup to the receptionist as needed.
  • Perform other duties as assigned by supervisor.

What We Are Looking For

Education and Experience

  • High school diploma or equivalent; Associate's or Bachelor's degree preferred
  • 3+ years of experience in an administrative, clerical, or office support role
  • Experience in administrative support in healthcare operations, or provider recruitment is a plus.

Knowledge Skills And Abilities

  • Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, SharePoint, Microsoft Teams, and Teams Meetings).
  • Ability to manage complex calendars and multiple priorities in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with exceptional attention to detail.
  • Professional demeanor with the ability to handle confidential information with discretion.
  • Ability and willingness to learn new systems and adapt to changing priorities.
