Position Overview
We are seeking a highly organized, proactive, and detail-oriented Administrative Assistant to support daily business operations and client communications. This role is ideal for someone who thrives in a fast-paced environment, enjoys multitasking, and excels at providing exceptional customer service and administrative support.
The Administrative Assistant will be responsible for managing multiple inboxes, responding to inquiries in a timely and professional manner, coordinating travel arrangements, maintaining organization across projects, and ensuring seamless communication internally and externally.
Key Responsibilities
- Manage and monitor 8 company email inboxes daily
- Respond promptly and professionally to client, vendor, and team inquiries
- Route communications to appropriate team members when necessary
- Maintain organized inbox systems and follow-up processes
- Coordinate and book travel arrangements including flights, hotels, transportation, and itineraries
- Assist with scheduling meetings, appointments, and calendar management
- Track deadlines, tasks, and ongoing projects to ensure timely completion
- Support general office administration and operational tasks
- Prepare documents, spreadsheets, and correspondence as needed
- Maintain confidentiality and professionalism in all communications
- Assist leadership team with miscellaneous administrative duties and special projects
Qualifications
- Previous administrative assistant, executive assistant, or customer service experience preferred
- Exceptional written and verbal communication skills
- Strong organizational skills with the ability to prioritize multiple tasks simultaneously
- Ability to work independently and problem-solve proactively
- Experience managing high-volume email communications
- Proficiency in Google Workspace, Microsoft Office, and scheduling platforms
- Strong attention to detail and follow-through
- Professional, positive, and service-oriented attitude
