Position Overview

We are seeking a highly organized, proactive, and detail-oriented Administrative Assistant to support daily business operations and client communications. This role is ideal for someone who thrives in a fast-paced environment, enjoys multitasking, and excels at providing exceptional customer service and administrative support.

The Administrative Assistant will be responsible for managing multiple inboxes, responding to inquiries in a timely and professional manner, coordinating travel arrangements, maintaining organization across projects, and ensuring seamless communication internally and externally.

Key Responsibilities

  • Manage and monitor 8 company email inboxes daily
  • Respond promptly and professionally to client, vendor, and team inquiries
  • Route communications to appropriate team members when necessary
  • Maintain organized inbox systems and follow-up processes
  • Coordinate and book travel arrangements including flights, hotels, transportation, and itineraries
  • Assist with scheduling meetings, appointments, and calendar management
  • Track deadlines, tasks, and ongoing projects to ensure timely completion
  • Support general office administration and operational tasks
  • Prepare documents, spreadsheets, and correspondence as needed
  • Maintain confidentiality and professionalism in all communications
  • Assist leadership team with miscellaneous administrative duties and special projects

Qualifications

  • Previous administrative assistant, executive assistant, or customer service experience preferred
  • Exceptional written and verbal communication skills
  • Strong organizational skills with the ability to prioritize multiple tasks simultaneously
  • Ability to work independently and problem-solve proactively
  • Experience managing high-volume email communications
  • Proficiency in Google Workspace, Microsoft Office, and scheduling platforms
  • Strong attention to detail and follow-through
  • Professional, positive, and service-oriented attitude

Preferred Skills

  • Experience coordinating travel logistics
  • Familiarity with CRM systems and project management tools
