A dynamic, global investment organization is seeking a highly organized and resourceful Administrative Assistant to support senior leaders and contribute to the daily operations of a collaborative, ~20-person (and growing!) office in New York. This individual will play a vital role in managing calendars, coordinating travel, supporting meetings, and maintaining an efficient, professional office environment.
As part of a lean, fast-paced business operations team within a 350+ person international firm, this role offers exposure to senior stakeholders and a broad range of responsibilities. The ideal candidate is proactive, detail-oriented, and thrives in a high-growth, entrepreneurial setting.
Key Responsibilities:
Calendar & Meeting Management
Serve as the primary point of contact for calendar coordination across multiple senior stakeholders
Schedule complex internal and external meetings, including room reservations and virtual conference links
Ensure executives stay on track throughout the day by proactively managing schedule changes and reminders
Partner with team members to arrange meeting logistics such as catering, audio/visual needs, and visitor access
Travel & Expense Coordination
Arrange all components of domestic and international travel including flights, hotels, and ground transportation
Manage itinerary changes and last-minute adjustments efficiently
Prepare and submit timely and accurate expense reports
Register for conferences and ensure materials and logistics are finalized in advance of travel
Office & Reception Support
Share front desk duties including welcoming guests and managing incoming calls
Prepare meeting spaces and ensure food, beverage, and technical needs are met for in-person meetings
Monitor and maintain common areas, including kitchen and copy room supplies
Assist with office tidiness, vendor coordination, and mail handling
Administrative & Project Support
Handle sensitive information with discretion, judgment, and confidentiality
Format presentations and reports using PowerPoint, Excel, and Word
Support internal events and special projects with scheduling, logistics, and communications
Ensure compliance with internal information security protocols and data privacy regulations
Preferred Qualifications
Bachelor’s degree or equivalent professional experience
Minimum 3 years of experience in an administrative support role; 5+ years preferred, ideally supporting senior-level professionals
Outstanding organizational skills and ability to prioritize competing demands
Excellent verbal and written communication with a strong sense of client service
High level of initiative and ability to anticipate needs without direction
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
Collaborative mindset with the ability to work independently and as part of a team
Professionalism, discretion, and a calm demeanor under pressure
