Role Overview
The Administrative Assistant will provide essential support to ensure smooth daily operations within the organization. This role emphasizes direct communication with medical providers and physicians, focusing on phone-based outreach and fax confirmations to maintain accurate records and ensure compliance. The ideal candidate will demonstrate professionalism, organizational precision, and bilingual communication skills, contributing to the efficiency and effectiveness of the company’s administrative processes.
Key Responsibilities
- Make outbound phone calls to confirm and update the company’s provider database.
- Fax physician acknowledgements and ensure receipt confirmation.
- Answer incoming phone calls and direct them to the appropriate internal staff.
- Provide Spanish interpretation support as needed.
- Register new claims using the proprietary Klear.ai software.
- Index and organize incoming mail, attach it to the correct claim, and assign tasks to the adjuster.
- Contact medical providers to verify whether they accept workers’ compensation patients.
- Schedule medical evaluations and send appointment notifications to injured workers through Klear.ai.
- Provide Medical Access Assistant services within the Medical Provider Network.
Requirements
- 1–3 proven years of experience as an Administrative Assistant or in a similar role.
- Experience with phone calls (preferred).
- Strong organizational and time-management skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to handle confidential information with discretion.
- Bilingual communication at C1 level (English/Spanish).
- Ability to work independently and collaboratively in a fast-paced environment.
- Comfort and professionalism in handling high-volume phone calls and fax communications.
