POSITION: Construction Administrative Assistant
SUPERVISOR: Site Superintendent
CLASSIFICATION: Full-time, hourly non-exempt

SUMMARY DESCRIPTION:
The Construction Administrative Assistant will assist the Superintendents with completing administrative duties during the companys construction projects on the jobsite. This position will act as the liaison between the client, vendors, subcontractors, Superintendents and Director of Construction. This position will travel to the jobsite, locations will vary.
JOB DUTIES & RESPONSIBILITIES:
Monitor timekeeping for staff on site
Record employees worked hours into our timekeeping system (CMiC)
Answer and direct phone calls
Organize and schedule appointments
Obtain daily quantity of materials used each day in order to update project progress
Maintain inventory of property storage areas.
Manage daily journal process
Write and distribute email, correspondence memos, letters, faxes, and forms
Manage records and maintain contact lists
Assist with travel arrangements when needed
Assist with mileage and travel reimbursement submissions
Act as a liaison with internal departments
Act as the point of contact for external clients
Assist with field support when needed
Other administrative or clerical duties as assigned by manager
SUPERVISORY RESPONSIBILITIES:
This position does not have any direct supervisory responsibilities.
WORK ENVIORNMENT:
Ability to work in extreme environments, cold, winter weather, hot sun
Working out of a job trailer located on the construction jobsite
Walking to and from parking lot
Possibly driving a buggy on the jobsite
Exposed to sound and noise levels such as earth-moving equipment
To prevent bodily harm, this position must wear personal protective equipment, must be extremely cautious, and follow all safety rules, when working on construction jobsite.
POSITIONS TYPE & EXPECTED HOURS OF WORK:
This is a full-time position. Hours often follow those of a typical business work week. You may be required to work weekends, holidays or after normal business hours if workload demands.

Ability and willingness to travel to various locations as required

REQUIREMENTS (Knowledge, Skills and Abilities):
Prior construction and safety related experience is preferred
Prior solar related experience is preferred
Highly proficient in Excel, Word and online programs to communicate and build reports
Ability to maintain confidentiality with sensitive information
Strong verbal and written communication skills
Strong analytical, quantitative, and organizational skills
Strong problem-solving skills
Self-starter with strong organizational skills, extreme attention to detail and commitment to producing high quality work product, and ability to multi-task under tight time pressures
Use of personal phone could be required for work correspondence
Must have a clean driving record
Ability to pass background check and pre-employment and random drug screenings
