Overview
The Administrative Support II will be cross trained and can support other position functions such as managing vehicle registration and state inspections of all new and current City Fleet. They will be responsible for analyzing and managing fuel inventory and fuel supply deliveries worth $8 million per year. They will manage accounts payable processes and reconciliations in Infor Lawson. Oversee outside repair changes to units in M5 Fleet Management and process and pay invoices amounting to several millions of dollars per year; and facilitate the annual auction of assets.
Responsibilities
Process and pay invoices amounting annually to approximately $10 million dollars to address various requirements
Monitor daily transactions to the M5 system
Supervise the processing of invoices in M5 and Infor Lawson. Confirm processes have been completed before invoices are released to Accounts Payable for payment. Verify invoices sent to Accounts Payable have been processed via a payables report. Authorize PO Requisitions issued for parts and outside labor
Manage Fleet Fuel inventory for the Fuel Station and Tanker truck. Manage fuel levels to confirm available for daily use by all City Departments. Manage the Fuel Delivery Supply Agreement, confirm vendor is supplying fuel as needed. Manage the Fuel Credit Card Service Agreement making sure Police Department Officers and Remote Departments are able to use credit cards daily for fuel purchases
Order new and replacement credit cards as needed
Manage vehicle inventory to including receiving, up-lifting, and issuing new units to individual departments
Initial input in the City’s maintenance tracking software, uploading manuals and creating service schedules based on manufacturers recommendations
Processes new unit warranty information for activation
Manage the administrative process for the annual city vehicle/ equipment auction
Provide to Auctioneer all vehicle/ equipment reports. Provide all unit keys, titles, and manufacturer certificates of origin are on hand before sale day. Retrieve from TxDOT any missing titles before the sale
May be asked to perform other duties as assigned
Position Type and Typical Hours of Work
Non exempt – Full-Time
Non rotating 40-hour work week, Monday – Friday, 8:00 am – 5:00 pm; must be available to work additional hours as needed

Minimum Qualifications
High School/ GED
Two years of experience
Licenses and Certifications
Required
A valid driver’s license is required; successful out-of-state candidates must be able to obtain a valid Texas driver’s license within 90 days of hire
Required within one (1) year of hire
Class C underground Storage Tank Certification

Basis of Rating
A recruitment consultant will evaluate all applications against the posted qualifications. The city may also conduct additional skill assessment tests, in addition to the panel interview.
