Job Summary: In addition to performing a variety of administrative tasks, the Senior Administrative Assistant is responsible for coordinating, organizing, and planning administrative support needs. Additionally, they provide guidance to other administrative staff and ensure operations run smoothly.

Requirements:

Duties & Responsibilities:

Administrative Support – Provide general administrative, clerical, and executive support to ensure smooth operations.
Communication Management – Monitor shared inboxes, voicemails, and mail; route communications and approvals as needed.
Scheduling & Calendar Coordination – Manage executive calendars, meetings, and team scheduling.
Accounting Support – Reconcile credit cards, process reimbursements, and track expenses.
Travel Coordination – Plan and book staff travel; manage approvals and confirmations.
Event & PR Coordination – Support internal and external events, retreats, and PR activities.
Onboarding Support – Set up new hires with system access, communication tools, and schedules.
Website & Data Updates – Maintain project data, audit files, and update website content.
Conference & Membership Management – Register staff for training and manage membership lists.
Office & Supply Management – Handle supply orders and general office upkeep.
Workflow Optimization – Improve processes and procedures to enhance efficiency.
Personal Assistant to the President – Provide day-to-day personal executive support, including scheduling, reservations, memberships, and general administrative assistance.
Advocacy & Industry Engagement Support – Assist with coordinating the President’s role in advocacy initiatives and participation in industry organizations and boards, including meeting logistics and communication follow-up.

Knowledge, Skills & Abilities:

Excellent verbal and written communication skills.
Strong attention to detail and problem-solving skills.
Ability to prioritize multiple tasks in a fast-paced environment.
Effective time management and multitasking abilities.
Proficiency in Microsoft Office applications, including Excel.

Education & Experience:

High School Diploma or equivalent required. Bachelor’s degree preferred.
Minimum of 3 years of previous administrative experience.
Familiarity with property management industry is a plus.
Valid driver’s license, insurance, clean driving record, and ability to travel as needed.

Physical Demands:

Long periods of computer work, communication via phone and email, and extensive record keeping.
Mobility within the building and occasionally lifting and/or moving objects up to 20 pounds.
Regular verbal communication and understanding in person and over the phone.
Frequent operation of buttons and controls, reaching, and grasping.
Visual abilities required include close vision, distance vision, and adjusting focus.
Occasional travel to different locations.
