JOB TITLE: Administrative Assistant
DEPARTMENT: Administration
FLSA STATUS: Non-Exempt
Salary: $22.25 per hour non-negotiable

SUMMARY : Under the direction of the assigned supervisor this position will primarily be responsible for facilitating efficient operations of the assigned department by performing a variety of clerical and administrative tasks.

ESSENTIAL DUTIES AND RESPONSIBILITIES: Including but not limited to the following duties and responsibilities.

Answers, transfers phone calls, screening when necessary
Welcomes and directs visitors and clients
Maintains filing systems as assigned
Retrieves information as requested from records, email, minutes, and other related documents
Prepares written summaries of data
Responds to and resolves administrative inquiries and questions
Coordinates and schedules travel, meetings, and appointments for managers or supervisors
Prepares agendas and schedules for meetings
Records and distributes minutes or other records for meetings
Maintains a system for recording expenses and the use of fund

SUPERVISORY RESPONSIBILITIES:

Non-supervisory

OTHER DUTIES:

Attend meetings
Attend mandatory trainings
Travel as required to perform duties
Perform related duties as assigned

QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skills, and/or abilities required.

Record-keeping techniques
Proper telephone etiquette
Filing systems, including electronic
A BI L I T Y TO:

Apply cultural sensitivity to cultural relevant programming, primarily Native American
Understand and follow oral and written directions
Provide excellent interpersonal and customer service skills
Communicate effectively both orally and in writing
Operate standard office equipment including a computer and assigned software
Observe and follow health and safety regulations
Work with minimal supervision on assigned duties

E DUCATION and/or EXPERIENCE: An equivalent combination of education and related work experience may be considered. Two (2) years of related work experience will be equal to 30 college credits and vice versa.

Associate in Arts degree required in Public or Business Administration or related field and two (2) years of related experience in an administrative role OR

High School Diploma or equivalency certificate required and four (4) years of related experience and two (2) years of related experience an administrative role

CERTIFICATES, LICENSES, AND REGISTRATIONS: To perform and to continue to be qualified for this position, the requirements listed below must be met at a time of hire or may be obtained within a specific amount of time depending on the position requirements. Costs for required certifications, licenses, and registration are to be covered by employee, unless offered by the Tribe.

Prior to hiring and throughout employment must possess a valid California Class C Driver’s License and maintain insurability under the Tribe’s vehicle insurance policy

Requires regular contact with or control over Indian children and is therefore subject to the background investigative process to comply with P.L.101-630
May require throughout employment to maintain a Mandated Reporting Certificate of Training
Requires throughout employment maintaining a CPR/AED/First Aid Card or Certification

TMDCI Member/Indian Preference Policy:

All work performed under this job classification is in support of essential governmental functions of the Torres Martinez Desert Cahuilla Indians .
