Administrative Assistant for Special Programs
Job Position Summary:
The National Strategic Research Institute (NSRI) at the University of Nebraska is seeking a highly organized and proactive Administrative Assistant to support NSRI’s Special Programs Portfolio . The ideal candidate will have a proven ability to provide executive-level administrative support, work independently, and manage multiple tasks in a fast-paced environment. This position will include office/facility management, project budgeting, handling phones, client intake, opening files, drafting general correspondence, managing calendar and appointments, greeting clients, scanning/copying/faxing, file organization, processing mail and other office general office duties. Based in Melbourne FL, this position features very frequent interaction with clients, Government leaders and other professionals. Strong interpersonal skills, a professional demeanor, organization, attention to detail, ability to learn quickly, multi-task, work independently and a positive attitude are critical. The position reports to the Research Director of Special Programs.
Based in Melbourne, Florida with a facility near Cocoa Beach Florida, this position is part of a government funded project and employment is contingent upon continued client funding and performance.

Essential Job Duties:

Utilize Microsoft Office Suite (Word, Excel, PowerPoint), Outlook, SharePoint, O365, Teams, and Adobe Acrobat to prepare briefing materials, charts, and presentations.
Serve as a professional representative for the office, managing recurring procedures, offering policy and procedural guidance, and ensuring high-quality deliverables.
Handle visitors, phone calls, calendar management, travel coordination, file maintenance, correspondence tracking, and meeting coordination.
Support Special Programs Directorate with various projects, programs, and events.
Plan, organize, and work effectively in a team environment, providing recommendations for improvements in administrative processes.
Safeguard sensitive information and comply with policies regarding Controlled Unclassified Information (CUI) and procurement-sensitive information.
Demonstrate excellent problem-solving skills, customer service orientation, and the ability to handle multiple tasks with attention to detail.
Education and Experience Requirements:

US Citizenship Required.
Requires a High School Diploma or equivalent and a minimum of 8 years of prior relevant experience or 2 years post-Secondary/Associates Degree with a minimum of 4 years of prior related experience.
Highly proficient in MS Office suite of tools, including Outlook.
Ability to adapt to a fast-paced, dynamic environment with the ability to prioritize and multi-task.
Present a professional face to the department as well as be accessible and flexible to the changing needs of the business.
Demonstrate a strong attention to detail and a high degree of accuracy.
Possess excellent communication skills, quality commitment, customer focus, strong interpersonal skills and be adaptable.
Demonstrated expertise in managing complex calendars, coordinating meetings, and handling sensitive information.
This position requires the individual to be a U.S. citizen and must be able to obtain and maintain U.S. government security clearance eligibility.
Ability to effectively interact with all levels of management.
Maintain confidentiality.
An equivalent combination of education and experience may be considered.
Additional Requirements:

Ability to work onsite with a flexible schedule, including nights, weekends, and holidays.
Ability to track and coordinate work across multiple organizations and maintain proficiency in electronic tracking systems.

Additional Information:

Salary: starting at $62,000, commensurate with qualifications and experience.
Travel may be required for sponsor meetings, collaboration, and site visits.
