Job Summary:

The Administrative Services and Hospitality Supervisor is a full-time, client-facing role responsible for overseeing daily operations within the Reception and Conference Center, including supervision of hospitality services, office support, and client event coordination. This position ensures exceptional client service and facility readiness at all times, operating with professionalism, attention to detail, and a proactive mindset. Flexibility is essential, as early arrivals or late departures may be necessary based on meeting schedules or special projects.

Essential Functions:

Supervise upkeep and inventory management of reception areas, attorney offices, office service zones, conference rooms, and break areas.
Manage the scheduling, setup, breakdown, and cleanliness of all conference rooms and shared spaces.
Oversee and assist with housekeeping, pantry stocking, and hospitality preparation for internal meetings and external client events.
Perform routine pantry checks to ensure supplies are fully stocked throughout the day, including beverages, snacks, and coffee machine provisions across multiple floors.
Train, guide, and supervise hospitality staff, ensuring consistent service quality and procedural compliance.
Maintain and ensure cleanliness of public-facing areas (lobbies, waiting areas, etc.).
Monitor and restock supplies after meetings, including sweeping, vacuuming, removing trash, and cleaning appliances and surfaces.
Maintain accurate inventory records and ensure timely replenishment of office and kitchen supplies.
Supervise and assist with other offices services/administrative tasks such as making copies, printing, scanning and binding legal documents
Supervise and assist with other administrative duties.

Additional Responsibilities:

Develop and maintain staff schedules and workflows for hospitality and conference center support.
Serve as the primary liaison between GLC, clients, and vendors for service coordination and issue resolution.
Coordinate with vendors and building management as needed to address facility issues and equipment maintenance.
Perform light facility duties as needed (e.g., changing light bulbs, spot-cleaning carpets, wiping down walls).
Proactively report facility-related maintenance issues to appropriate parties. ï‚· Support other duties and projects assigned.

Qualifications:

Education & Experience: High school diploma or equivalent required.
Minimum 2 years of general office and customer service experience.
3–5 years of experience in hospitality, catering, or event services.
Experience in office services or administrative support is a plus.

Skills & Abilities:

Strong interpersonal and communication skills (verbal and written).
Highly organized with keen attention to detail and the ability to manage multiple priorities.
Proficient in Microsoft Office Suite (Outlook, Word, Excel); knowledge of PowerPoint and Adobe is a plus.
Frequent communication and coordination with attorneys, clients, and administrative staff.
Capable of working independently and collaboratively with professionals at all levels.
Flexible, resourceful, and adaptable to change in a fast-paced environment.
Strong sense of urgency and commitment to excellence in client service.
Must be willing to stay overnight near the office in case of emergency weather events.

Physical Requirements:

Ability to move around the office up to 50% of the time to perform room setups and attend to administrative tasks.
Regular use of office equipment (mail machines, computers, printers, copiers, etc.).
The ability to lift up to 50 lbs. with or without reasonable accommodation.
Comfortable performing physical tasks such as standing, walking, bending, and repetitive motion.
Visual acuity to observe information on computer screens at least 50% of the time.
