A family office within the financial services space is seeking an Administrative Assistant to join their team. The ideal candidate will have 3-5 years' of administrative experience and be incredibly organized, detail-oriented, and able to juggle multiple priorities at once.
Fully on-site in NYC
M-F 9am – 6pm
Pay: $100-130K + bonus
Responsibilities:
- Provide comprehensive administrative support in a dynamic environment, ensuring seamless operations and effective communication.
- Work closely with the Executive Assistant to support high-level tasks and manage priorities.
- Manage dynamic schedules, ensuring accuracy and proactive communication.
- Coordinate travel arrangements and maintain detailed itineraries for the Principal.
- Prepare meeting materials, summaries, and follow-ups to support decision-making processes.
- Serve as a liaison between the Principal and external stakeholders.
- Handle household logistics, including mail, deliveries, and errands, with efficiency.
- Coordinate with vendors and building management to ensure smooth property operations.
- Maintain organized physical and digital records.
- Provide technology support, troubleshooting issues and coordinating with IT professionals.
Requirements:
- Minimum of 3 years of administrative experience; 5 years preferred.
- Proficiency in managing schedules, travel arrangements, and meeting logistics.
- Strong organizational skills and attention to detail in handling tasks and records.
- Ability to maintain discretion and confidentiality in sensitive matters.
- Technical proficiency and ability to troubleshoot basic IT issues effectively.
