Job Description:
As part of our continuous growth, we are currently seeking an additional committed and detail-oriented individual to join our team in the role of Administrative Assistant.This position plays a crucial role in supporting the Office Manager and ensuring the smooth day-to-day operations of our office.
Role and Responsibilities:
Provide a positive and professional first point of contact for clients and visitors.
Coordinating office deliveries, office mail, and couriers.
Providing administrative assistance to ensure smooth office operations and actively contributing to meeting deadlines.
Maintaining and updating the firm’s databases.
Draft, proofread, and edit documents and correspondence.
Scanning and filing of documents.
Assisting in office errands as required by the Office Manager.
Assist in monitoring the credit control function.
Collaborate with team members to facilitate efficient workflow.
Ensure the office is well-organised and presentable.
Manage office supplies, place orders as needed, and maintain inventory.
Assist with basic financial tasks, such as processing of invoices and preparation of bank deposits.
Supporting the Office Manager in the management and coordination of office activities and operations.
Requirements:
Proven experience as an administrative assistant or in a similar role.
Familiarity with basic accounting principles is a plus.
Proficient in MS Office (Word, Excel, Outlook).
Knowledge of Shireburn Indigo and Xero software will be considered an asset.
Excellent organisational and multitasking abilities.
Strong written and verbal communication skills.
Attention to detail and problem-solving skills.
Ability to maintain confidentiality and handle sensitive information.
A positive attitude and an efficient team player.
Responsible, motivated, and have an eye for detail.
