This person will undertake administrative tasks, ensuring the rest of the staff has adequate support to work efficiently and effectively. The ideal candidate will be competent in prioritizing and working with little supervision. Should be self-motivated and trustworthy.

Responsibilities

Provide scheduling and administrative support to CRG’s executive team, real estate development team, and the Director of Capital Markets, including assistance with daily administrative duties and a broad variety of administrative and clerical tasks including managing active calendars, preparing expense reports, arranging detailed travel plans, and compiling documents for meetings.
Proactively manage and track transaction timelines and important deadlines and other deal-related dates, providing reminders, organizing information, and bringing together appropriate people and resources to support leadership in meeting deadlines and addressing the issues at hand.
Manage and track closing document checklists for financial closings, obtain signatures from CRG executives, and ensure CRG receives a full set of all final, executed documents.
Establish and maintain system for filing and retrieving important documents, including deeds, operating agreements, title policies, and other related items and handle sensitive and confidential information with discretion and professionalism, maintaining a high level of integrity in all interactions.
Assist with entity administration, including filing documents as necessary with the appropriate Secretary of State Business Services divisions.
Prepare, proofread, and send correspondence, invoices, contracts, presentations, brochures, reports and relevant material when assigned, including monthly or quarterly investor updates.
Identify areas of improvement for organization and operational flow.
Organize travel schedules and book reservations for employees as needed.
Schedule and verify appointments and meetings of managers.
Handle HR administrative duties and complete other projects as assigned.
Ensure office systems and processes are operating smoothly and efficiently, evaluating and modernizing systems and processes as necessary.
Greet and direct visitors to the office.
Answer and direct phone calls to the office. Route messages as needed.
Open and distribute incoming mail, electronic mail and other material. Coordinate the flow of information internally and with other departments and organizations.
Review, budget, monitor, and order refreshments and workplace/building supplies and maintain inventories.
Order lunches/meals for office functions and meetings.
Responsible for purchasing equipment and supplies and overseeing maintenance and repairs of office equipment as necessary.
Prepare monthly inter-company Calendar, Newsletter and PowerPoint.
Manage Verizon account for company cell phones (ordering phones, inventory of current phones, and assist in troubleshooting issues).
Certificate of insurance compliance management with MyCOI platform

Skills

Must have 3+ years of experience as an administrative assistant or relevant role in an office setting
Outstanding communication and attention to detail
Excellent organizational skills
Must be able to work well with others at all levels
Excellent knowledge of MS Office

Job Type: Full-time

Pay: $60,000.00 – $65,000.00 per year
