We are looking for a dependable Administrative Assistant to support a busy business management firm in West Los Angeles. This contract-to-permanent opportunity is fully onsite and is well suited for someone who thrives in a structured, fast-moving office setting while handling clerical and executive support tasks with professionalism. Reporting to the Office Manager/Executive Assistant, this position plays an important role in keeping daily operations organized, responsive, and efficient.

Responsibilities:

• Support day-to-day office operations by completing clerical work such as filing, document formatting, record updates, and data entry.

• Manage schedules for leadership by arranging appointments, coordinating meetings, and helping organize travel plans when needed.

• Serve as a front-facing point of contact by answering incoming calls, greeting visitors, and directing inquiries appropriately.

• Maintain accurate and well-organized confidential files, business records, and administrative documentation.

• Prepare spreadsheets, reports, presentations, and general correspondence using Microsoft Office applications.

• Monitor office supply levels, place orders, and assist with coordination of vendors and routine office services.

• Provide administrative support to managers and team members across a variety of business functions as priorities shift.

• Work closely with the Office Manager/Executive Assistant to ensure smooth execution of daily administrative needs in an onsite environment.

• Prior experience in an administrative, clerical, receptionist, or secretarial capacity is preferred.
• Strong communication skills with the ability to interact effectively in person, by phone, and in writing.
• Comfortable working with demanding personalities and maintaining composure in a high-pressure office setting.
• Highly organized with strong attention to detail and the ability to manage multiple tasks accurately.
• Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
• Experience with data entry and general office support tasks in a detail-focused environment.
• Dependable attendance and the ability to work onsite daily in Los Angeles, California.
• Familiarity with Datafaction is a plus.
