Role Description This full-time remote Administrative Assistant role focuses on providing day-to-day administrative support to financial advisors and independent brokers. Responsibilities include managing calendars, scheduling meetings, organizing documents, and maintaining accurate records. The role involves handling phone calls and email correspondence in a professional manner, routing inquiries, and providing timely follow-up. The Administrative Assistant will prepare basic reports, assist with data entry, and support clerical tasks such as filing, document formatting, and updating client information. Collaboration with advisors and internal team members to ensure smooth workflows and consistent service delivery is an essential part of the position.
Qualifications

  • Strong Administrative Assistance skills, including calendar management, scheduling, and record keeping
  • Professional Phone Etiquette and Communication skills, with the ability to handle client-facing interactions clearly and respectfully
  • Experience with Executive Administrative Assistance, supporting busy professionals with prioritization and task follow-up
  • Solid Clerical Skills such as data entry, document organization, and basic report preparation
  • Proficiency with office software and online collaboration tools (e.g., email, spreadsheets, document management, video conferencing)
  • Ability to work independently in a remote environment, manage time effectively, and handle multiple tasks simultaneously
  • Attention to detail, reliability, and a high level of professionalism in written and verbal communication
  • Prior experience in financial services or supporting professional services teams is beneficial
