Our Opportunity:
We are currently seeking anFront Desk Administrative Assistantfor ourNew York, NYoffice. In this role, you will work as part of an administrative team, responsible for performing a wide variety of diverse, administrative tasks to provide a high level of support for our professional consultants and corporate staff. Qualified candidates who are selected to participate in our screening process for this role will be asked to take an editorial assessment via Microsoft Word prior to a potential formal interview.
You will be responsible for:
General office support:
Providing main front desk coverage including low-volume phone coverage
Serve as point person for all incoming guests (staff, vendors, etc.). Identify and direct non-routine inquiries to appropriate office personnel as needed.
Managing mail, fax, and shipping and receiving
Managing office supply orders and inventory
Maintaining organization and upkeep of supply/copy room, conference rooms, and kitchen area
Managing conference room schedules and setting up meetings via web conference systems
Coordinating onsite meetings to include conference room schedules, setting up web conference systems, catering, room set up/clean up
Coordinating equipment maintenance (copy machines, kitchen appliances, etc.)
Organizing and assisting with the daily activities in the office
Supporting Facilities requests administratively (both from corporate and the building management)
Printing/binding
Assisting Human Resources with local candidate interview scheduling
Preparing offices for new hires (making sure desk is emptied, room is tidy, and new computer and hardware is setup)
Ensuring that safety supplies (First Aid Kits) are functioning properly and ensuring the office remains up-to-date on meeting safety standards
Consultant support:
Setting up projects, conducting conflict searches, and drafting agreements
Preparing, maintaining, and tracking project documentation and ensuring timeliness of approvals
Assisting with invoicing, purchasing, and accounts receivables
