Full Job Description
CSI DMC Administrative Assistant
In this Administrative Assistant role you will:
Assist Executive Assistant to the SVPs with preparing for meetings, to include preparing materials, setting up agendas, obtaining materials in advance, and distributing materials
Assist Executive Assistant to the SVPs in the creation and management of the destination team outlook calendars and operations calendar spreadsheet
Coordinate/assist with managing team meetings (staff meetings, town halls, quarterly on sites/off sites, team gatherings, etc.) whether virtual or in person; assists with event planning; processes related expenses.
Edit documents for accuracy, format, and arrangement of material.
Optimize travel arrangements (transportation, accommodations, agenda) based on executive travel needs and preferences; manages complex itineraries, to include any changes; processes related expenses
Assist Executive Assistant to the SVPs with monthly expense reports across business units and destinations
Assist in keeping executives and their teams well organized, to include online retrieval and archiving on collaboration platforms such as MS Teams and Salesforce
Learn and keep informed of new tools and technologies’ to further executive productivity; identifies and communicates useful functionality and assists with troubleshooting/continuous improvement.
Assist Executive Assistant to the SVPs with process and/or program management such as maintaining employee directory, organizational charts, administering surveys, conducting research, preparing documents, etc.
Assist Executive Assistant to the SVPs with managing new hire training schedules
Assist Executive Assistant to the SVPs with maintaining company internal budgets when applicable
Strong knowledge of administrative procedures, software applications (such as Microsoft Office Word, Excel, Outlook, etc.) records management systems, and other business procedures and terminology
Excellent organizational skills, time management skills and attention to detail, to include anticipating needs and being proactive
Displays high degree of professionalism in order to maintain confidential information, deal with people tactfully, and help establish strong relationships and positive communication
REQUIREMENTS:
A bachelor’s degree, associates degree, or equivalent work experience
2+ years of administrative experience
1+ years of experience in event industry preferred
1+ year of coordination experience or experience working with DMCs is preferred.
Well-developed written and verbal communication skills.
Ability to compose professional and grammatically accurate emails
The ability to listen closely and articulate confidently in meetings
Capacity to demonstrate an appropriate level of confidentiality regarding personnel and financial information of the company when communicating within all tiers of the organization
Strong organizational and time management skills.
Ability to manage multiple projects simultaneously
Excellent work ethic.
Proactive approach to completing tasks.
The demonstrated ability to multi-task and prioritize competing work needs.
Able to work autonomously yet collaborate as part of a team on workflows.
Proficiency in Microsoft office products, especially Excel
Ability to learn new software introduced at CSI (knowledge of Salesforce a plus).
