Job Overview
The Administrative Specialist is a pivotal role within our organization, focused on delivering exceptional administrative support with outstanding communication skills. This position demands a detail-oriented and logical approach to tasks, ensuring precise execution and efficient operations. The Administrative Specialist will also have opportunities to provide on-site support to our clients as needed.
Responsibilities and Duties
● Provide advanced administrative support to the Admin manager, HRD, CEO, ensuring seamless office operation.
● Provide on-site administrative support to clients when assigned, ensuring their needs are met with the highest level of service
● Demonstrate IT proficiency or exceptional paperwork skills to enhance administrative processes and contribute to organizational efficiency.
● Maintain meticulous electronic filing systems, guaranteeing easy accessibility and organized record-keeping.
● Collaborate across departments to optimize administrative workflows, improve processes, and elevate overall operational effectiveness
● Facilitate effective communication between different teams, acting as a liaison to foster cohesive efforts in achieving company objectives
● Assist in the onboarding process of new employees, including setting up IT equipment and providing training on administrative systems
● Manage inventory of office supplies, IT equipment, and resources, ensuring replenishment to prevent disruptions
● Contribute to the organization of company events, meetings, and conferences, managing logistics with precision
● Handle confidential information and sensitive matters discreetly and professionally
Qualifications
● Bachelor’s degree in business administration, informatino technology, management, or a related field
● 3-5 years of experience in an administrative role, preferably in a senior or specialized capacity
● Exceptional organizational skills and meticulous attention to detail.
● Excellent organizational and time management abilities, with the capability to prioritize and handle multiple tasks simultaneously
● Advanced proficiency in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
● Strong communication skills, both written and verbal, with the ability to interact effectively with individuals at all levels of the organization
● Leadership qualities, including adaptability, initiative, and the ability to work independently and as part of a team
● IT troubleshooting experience or IT support certifications are desirable.Ability to handle sensitive and confidential information with discretion
● Having a car and driver’s license is recommended but not mandatory.
