Job Posting Description:This is a hybrid roleWe are seeking a dynamic Administrative Assistant to support the Asset Management Department in the Store Development and Real Estate Division. The Administrative Assistant will provide support to the Senior Director and the Facilities and Property Management team overseeing the real estate operations of the LCBO network. The role ensures and undertakes the ongoing centralization of data and documents, tracking of facilities programs, creation of work orders and subsequent invoicing while further departmental needs are met through preparation of budgets, meeting co-ordination, travel arrangements and creation of presentations.

About The Role

Assist with PowerPoint presentations, Work documents, Excel spreadsheets, proof-reading, and formatting of all correspondence.

Process internal and external correspondence on brief instruction or own initiative researching responses as required.

Assist with calendar management and meeting coordination with internal and external partners.

Administer the department budget.

Process invoices, review and track expenses.

Plan, facilitate and attend all departmental meetings to transcribe meeting minutes.

Coordinate all travel arrangements and approvals, including the provision of meals, transportation and accommodation.

About You

Proven experience providing senior administrative support in a multi departmental and highly fast paced environment.

Ability to problem solve and operate with a high degree of independence.

Excellent experience with Excel and experience remainder of the Microsoft Office suite including Word and PowerPoint.

Knowledge of Accelion and Oracle is an asset.

A working knowledge of budget preparation and monitoring is also an asset.

Excellent communication skills, tact, diplomacy and discretion.

Well organized and able to prioritize multiple tasks simultaneously.

Understanding the role of facilities management is also beneficial.
