Administrative Assistant – Engineering/Contruction Industry

Job Description:As an Administrative Assistant you will play a crucial role in ensuring the smooth operation of projects by managing scheduling activities for contractors and clients. You will work closely with project managers and other team members to coordinate appointments, meetings, and project timelines. Your attention to detail, organizational skills, and ability to prioritize tasks will be essential in meeting deadlines and maintaining effective communication with all stakeholders.

Responsibilities:

Coordinate scheduling for contractors and clients, including appointments, meetings, and project deadlines.

Manage calendars for project managers and team members, ensuring efficient use of time and resources.

Communicate with contractors and clients to confirm appointments, provide project updates, and address any scheduling conflicts.

Assist in the preparation of project documentation, including contracts, proposals, and reports.

Maintain accurate records of project schedules, contacts, and correspondence.

Coordinate travel arrangements and accommodations for team members as needed.

Assist in general administrative tasks such as answering phones, filing documents, and organizing office supplies.

Collaborate with other administrative staff to ensure seamless operations across the organization.

Qualifications:

Previous experience in an administrative role, preferably in the engineering or construction industry.

Strong organizational and time-management skills, with the ability to multitask and prioritize tasks effectively.

Excellent communication skills, both verbal and written, with a professional and courteous demeanor.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and scheduling software.

Attention to detail and accuracy in data entry and record-keeping.

Ability to work independently with minimal supervision and as part of a team in a fast-paced environment.

Flexibility to adapt to changing priorities and deadlines.

High school diploma or equivalent; additional certification or training in office administration is a plus.
