We’re looking for an Administrative Assistant who has excellent organizational skills and a personable disposition to keep us thriving. The ideal candidate will have a natural flexibility in handling day-to-day routines as well as surprises. The Administrative Assistant will provide strong, reliable support for operations by creating procedures and communicating them companywide, and by maintaining employee safety. This person will also help us achieve organizational efficiency by nurturing a positive, inclusive work environment.

Note: This is an on-site position M-F.

Responsibilities

Answer phones and greet visitors

Schedule appointments and maintain calendars

Schedule and coordinate meetings

Collate and distribute mail

Prepare communications such as memos, emails, invoices, reports and other correspondence

Write and edit communications, from letters to reports and documents

Create and maintain filing systems, both electronic and physical

Coordinate and organize office activities

Oversee stock of office supplies

Greet visitors at office

Coordinate inbound and outbound office calls and shipments

Support HR in scheduling meetings, interviews and transport

Qualifications

Bachelor’s degree in business, marketing, communications or a related field.

2+ years of experience in a client facing role, preferably at a software or technology company.

Comfortable working across multiple departments in a deadline-driven environment.

Active team player, self-starter, and multitasker who can quickly adjust priorities.

Strong communication skills.

Strong ability to multitask.

Friendly and upbeat demeanor.
