Coastal Child Care is a well-established nanny agency serving families in North Carolina and Virginia. We specialize in connecting families with high-quality childcare professionals and providing exceptional customer service to our clients.

The Landing at Moyock is a charming small event venue that hosts private gatherings, community events, and business workshops. We work closely with local businesses to provide engaging classes and experiences for the community.

The owner manages both businesses and is seeking additional support to handle administrative and scheduling tasks. This role will also involve assisting with occasional personal tasks to help keep daily operations running smoothly.

Job Summary:

We are looking for a highly organized, energetic, and detail-oriented individual to serve as a Administrative & Scheduling Assistant for both Coastal Child Care and The Landing at Moyock. This position requires a friendly and professional demeanor, strong multitasking abilities, and excellent communication skills.

This hybrid remote position offers flexible scheduling but requires availability every weekday (Monday–Friday) for a minimum of 2 hours daily between 10 AM – 3 PM. Additional hours, including some evenings and weekends, may be required for meetings, events, and venue tours.

This role is open to stay-at-home parents, and children may attend in-person meetings with the owners approval.

Responsibilities: Administrative & Receptionist Duties:

Answer and manage phone calls, emails, and messages in a friendly and professional manner.
Schedule appointments, coordinate meetings, and manage calendars for the owner, administration, and clients.
Assist with various administrative tasks for both businesses.
Follow up with clients to ensure a smooth experience, address any concerns, and request reviews.

Venue Coordination & Business Development:

Work with local businesses to schedule classes and events at The Landing at Moyock.
Provide venue tours for potential clients.
Maintain organized electronic filing systems using HoneyBook (training provided if needed).
Ensure payments and contracts are completed by due dates.
Assist with creative brainstorming for new class ideas and venue events.
Occasionally check or clean on the venue on weekends or evenings as needed.

Personal Assistant Duties:

Assist with personal tasks such as scheduling dinner reservations and handling miscellaneous errands.
Support the owner in staying organized and on top of all commitments.

Social Media & Marketing Support:

Assist with social media posting and advertising as needed.
Canva experience preferred but training can be provided.

Qualifications:

Previous experience in an administrative, receptionist, or customer service role (preferred but not required).
Strong verbal and written communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and ability to learn new software.
Highly organized, detail-oriented, and able to multitask.
Professional, friendly, and positive attitude.
Experience with HoneyBook or other CRM software is a plus (training provided if needed).
Childcare experience is a plus, as this role involves scheduling families for Coastal Child Care.
Must have a reliable computer with video and microphone capabilities for remote work.
