Salary: $70,000

Work Schedule: M-F, Some weekends as needed

PCC is a nonprofit organization based in Sacramento, CA, with a retreat location in Woodland, CA. We provide Trauma-Informed, High Fidelity Wraparound services to post-adoptive families throughout California. Our mission is to stabilize and strengthen families by supporting the development of lasting, loving bonds between adoptive children and their parents. We walk alongside families through the unique post-adoption journey, offering compassion, healing, and connection every step of the way.

Position Overview:

We are seeking a highly organized and detail-oriented professional to serve as Executive Assistant to the CEO. This role plays a vital part in supporting both our mission and the daily operational rhythm of the organization. It is a dynamic, fast-paced position, well-suited for someone who thrives in a purpose-driven environment and enjoys managing multiple priorities with precision and care.

As Executive Assistant, you’ll oversee the CEO’s calendar, manage time-sensitive communications, and support high-level projects. Responsibilities will include coordinating meetings, arranging travel, and providing critical administrative support to facilitate efficient decision-making and program development.

Key Responsibilities:

Manage the CEO’s calendar, appointments, and travel, proactively resolving scheduling conflicts and ensuring efficient time management.
Screen, prioritize, and respond to incoming communications, exercising sound judgment and discretion with sensitive information.
Prepare and edit correspondence, reports, and presentations using Google Suite, ensuring accuracy and professionalism.
Coordinate meetings by creating agendas, taking minutes, and tracking follow-up actions to maintain seamless communication and collaboration.
Conduct research to support decision-making and program development, demonstrating critical thinking and attention to detail.
Anticipate and address the CEO’s needs, resolving potential issues with a proactive, solution-oriented approach.
Act as a liaison between the CEO and internal/external stakeholders, representing the executive office with adaptability and professionalism.
Uphold confidentiality and professionalism in all communications and interactions.

Qualifications:

Bachelor’s degree in Business Administration, Communications or related field (or equivalent experience).
3+ years’ experience in an assistant or high-level administrative role, preferably in a nonprofit or mission-driven organization.
Strong organizational and time-management skills, with the ability to manage multiple priorities and deadlines.
Proficiency with Microsoft Office Suite (Outlook, Word, Excel, etc) and general comfort with virtual collaboration tools (e.g. Teams, Zoom).
Strong written and verbal communication skills.
Comfort working independently, as well as collaboratively with cross-functional teams.

Work Environment and Schedule:

In-office work environment: must be able to sit or stand for long periods, use standard office equipment, and occasionally lift up to 25lbs for event or meeting preparation.
Limited travel requirements, but may include occasional local travel for meetings, events, or errands on behalf of the CEO or organization.
Flexibility in working hours M-F, typically 8am-6pm with occasional evenings, or weekends for events, or time-sensitive needs.
