Job Overview
The Office Administrator at Superior Roof Systems is responsible for overseeing office administration, sales follow-up, client integration, and data management, ensuring seamless operations and exceptional customer experience. This role serves as the organizational backbone of the company, supporting both internal teams and customers throughout the roofing project lifecycle.

OBJECTIVES

● Maintain 100% accuracy in record-keeping, scheduling, and administrative workflows, ensuring smooth daily operations within the CRM (Centerpoint)

● Conduct follow-ups with 100% of clients post-project completion, ensuring quality assurance and maintaining a 90%+ customer satisfaction rating.

● Implement seamless client onboarding processes, ensuring all new customers receive detailed project timelines, roofing maintenance guidance, and necessary documentation.

● Ensure 100% accuracy in data entry and reporting within the CRM (Centerpoint), reducing administrative errors and improving operational efficiency.

● Act as the primary liaison between sales, operations, and customer service teams, ensuring all project details, client concerns, and updates are efficiently managed.

● Maintain accurate financial, vendor, and inventory records, ensuring seamless payment processing, material tracking, and cost control.

● Identify and implement at least two efficiency improvements per year, optimizing office operations and reducing administrative bottlenecks.

● Oversee 100% on-time invoicing and client documentation processes, reducing delays and improving financial tracking.

● Respond to 95%+ of customer inquiries within 24 hours, providing timely updates on project status and addressing concerns proactively.

● Assist with customer engagement efforts, including email follow-ups, review collection, and referral program management to enhance long-term client relationships.

● Maintain 100% compliance with regulatory requirements, warranties, and contract documentation, ensuring risk mitigation and operational security.

● Ability to efficiently manage schedules, records, and daily administrative tasks, ensuring seamless office operations.

● Strong ability to engage with clients professionally, follow up on projects, and address concerns, ensuring high customer satisfaction.

● High proficiency in data management, ensuring 100% accuracy in the CRM (Centerpoint) and other tracking systems to maintain organized and error-free records.

● Ability to support client onboarding and post-sales processes, ensuring smooth transitions from contract signing to project completion.

● Proactively follow up with clients to ensure project quality, satisfaction, and potential for repeat business or referrals.

● Understanding of billing, invoicing, vendor payments, and financial record management to support seamless transactions.

● Ability to identify operational inefficiencies, implement solutions, and resolve client or vendor-related challenges effectively.

● Works closely with sales, operations, and field teams, ensuring all departments are aligned on project statuses and client expectations.

● Skilled in CRM systems, Microsoft Office Suite, Excel, and other relevant administrative tools to manage operations efficiently.

● Ability to manage supplier relationships, track material orders, and maintain updated inventory records to support roofing projects.

● Ability to handle multiple tasks simultaneously, prioritize urgent responsibilities, and maintain productivity in a fast-paced environment.

● Ensures proper record-keeping for contracts, warranties, and regulatory requirements, maintaining company compliance and risk management.

Job Type: Full-time

Pay: $18.00 – $20.00 per hour

Expected hours: 40 per week
