POSITION OVERVIEW: This is an administrative position to support the Marketing and Office Management functions within the organization. The Administrative Assistant facilitates the efficient operation of the assigned department by performing a variety of administrative and clerical tasks. This position reports to the Director of Marketing.

DUTIES/RESPONSIBILITIES:

Participates in the production of tailored proposals, qualifications and award submissions
Assists with developing and maintaining resumes and project descriptions
Organizes and maintains marketing materials including proposals, qualifications, photography and interview materials
Maintains the professional resume and project data for all applicable firm personnel and projects in Vantagepoint
Updates and maintains website, marketing databases, information systems, tracking systems and records including Deltek Vantagepoint, Open Asset image library, awards calendar, editorial calendar, events/conference calendar and photography calendar.
Renews firm and individual memberships and licenses and maintains database
Serves as a notary public for the office (company paid certification)
Manages the reception area, including scheduling and receiving visitors to the office
Provides general office support with a variety of clerical activities and related tasks, including but not limited to answering the phone, daily mail and shipping, making travel arrangements, and assists with in-house catering orders.
Assists Office Manager with various tasks, such as entering maintenance requests, managing local attraction passes and coordinating office events

EDUCATION AND EXPERIENCE:

Minimum of a high school diploma or equivalent is required
Previous experience in an administrative support role is preferred
Experience Microsoft Office Suite and related software

PHYSICAL REQUIREMENTS:

Ability to sit for long periods of time
Ability to use a computer, telephone, copy machine and other office equipment
Ability to move about the office
Ability to occasionally lift approximately 15 to 20 pounds

Compensation for this position is between $20.00 to $25.00 per hour, commensurate with experience and qualifications
