As part of our team, you will have the opportunity to perform various administrative and clerical tasks that support office operations, serve as a backup for reception and other administrative personnel and provide clerical assistance in the administration of arbitration and mediation cases in accordance with the rules and procedures of the AAA.

The expectation for this position is 100% onsite. In addition to a competitive salary range of $42,000 – $48,000/year, we offer a 7.5% quarterly incentive opportunity to reward your hard work.

Responsibilities:

Responds to inquiries promptly; anticipates troubleshoots, and resolves problems by weighing the importance of facts and issues; ensures that unresolved and complex issues are escalated to management.

Answers and directs phone calls, schedules meetings, and supports visitors; provides information to visitors and clients.

Generates and sends correspondence.

Performs administrative duties such as filing, typing, copying, binding, scanning, etc.

Makes travel arrangements for executives, such as booking flights, cars, and hotel or restaurant reservations.

Collaborates with Corporate Services and IS Departments to repair and maintain office equipment (copy machines, fax machines, etc.).

Exhibits polite and professional communication via phone, email, and mail.

Assists with the organization, maintenance, and submission of documentation and business records; liaises with office staff, AAA corporate office, outside parties, vendors, and others.

Maintains office supply inventory by checking stock to determine inventory level, anticipating needed supplies, and placing and tracking orders.

Provides clerical support on the management of arbitration and mediation cases in accordance with the rules and procedures of the AAA (i.e., maintains and updates case files, records, and documents in the online case management system (PRISM), assists the case management team in completing tasks, monitoring emails, and preparing communication, ensures the confidentiality of case information and records, etc.)

Qualifications:

Education&Experience:High School Diploma/GED; 2 years of experience in an administrative support capacity; or an equivalent combination of education and experience.
