The ideal candidate will exhibit high standards, excellent communication skills, and have an ability to take initiative, and prioritise daily tasks. A strong ability to take charge and meet tight deadlines will ensure your success in this multi-faceted role. The position will be reporting to and working with the current Director of Operations on ensuring that Epidarex’s administrative and operational foundation is sound.
This is a 5 month fixed term position, part-time at two days per week and based onsite in our Edinburgh office.
Key Responsibilities:
Under the direction of the Director of Operations, provide overall administrative support to Epidarex and the various venture capital funds that it manages and/or administers.
Support the Director of Operations on the organisation and production of various events, either virtually and/or in person.
Support the Director of Operations with meeting scheduling and preparation of meeting materials.
Provide support to the US-based Partners for documentation and detail required for reconciliations of credit cards, portfolio company reimbursements and other finance processes.
Support with reporting processes, ensuring information required is gathered, formatted, distributed and/or filed accurately and on time.
Maintain the filing systems for the organisation (cloud and paper based) and assist with the overall organisation of the firm’s SharePoint site.
Assist with ensuring office facilities, procedures and administrative systems are up to date, organised and properly implemented.
Receive, sort, scan and file (electronically and if appropriate hard copy) mail. Ensure that relevant mail is forwarded to the appropriate person and/or act on any outcome of incoming mail as needed.
Point person for receiving and reviewing voicemails from the US and UK main business lines. Ensuring that the calls are addressed and/or filtered to the appropriate team member for resolution. Â
Support with and improve the Firm’s contacts/CRM systems.

Qualifications:
Bachelor’s degree or equivalent experience
Strong interpersonal, customer service and communication skills
Ability to multitask
Proficient in Microsoft Office suite
