JLS is seeking an organized and proactive professional to serve as our Administrative Assistant. This role combines administrative and executive support, combined with high-level project management to ensure seamless operations across our client launches, press initiatives, and internal operations. 

Primary Responsibilities:

Project & Calendar Management 

Develop and maintain a comprehensive calendar tracking all client launches, press holidays, and major media opportunities

Coordinate with internal teams to track progress and flag potential issues before they arise

Prepare regular status reports and updates for leadership and client teams

Process Development & Management 

Develop templates and systems to streamline recurring tasks

Monitor process effectiveness and make data-driven recommendations for improvements

Executive Support 

Provide direct support to the founder, including calendar management, email organization, and personal task coordination

Arrange meetings, handle correspondence, and manage personal scheduling

Assist with preparation for presentations and meetings

Handle confidential matters with discretion and professionalism

Operations Management 

Oversee office operations, including supply management and maintenance

Manage office budget for supplies, snacks, and team lunches

Coordinate team travel arrangements and maintain travel expense tracking

Implement and maintain efficient office systems and procedures

Required Qualifications:

3-5 years of admin and/or project management experience, experience in the PR sector is helpful but not required

Proven experience in administrative roles

Experience in process development and documentation

Exceptional organizational skills with ability to manage multiple complex projects simultaneously

Strong proficiency in project management and productivity tools

Outstanding written and verbal communication skills

Experience in budget management and expense tracking
