Position Summary

The Executive Assistant plays a vital role in supporting the Head of Nursery – Grade 8 and the Early Childhood and Lower School Guidance team. As a key member of the N–8 administrative team, this individual must demonstrate professionalism, discretion, and proactive organizational skills. The role involves managing complex scheduling, supporting leadership initiatives, and helping ensure the smooth day-to-day operations of the school. Success in this position requires strong initiative, sound judgment, and the ability to navigate responsibilities with independence and efficiency in a fast-paced school environment. This is a full-time position that requires a five-day work week, Monday through Friday and occasional work on evenings.

Objectives

Provide high-level administrative support to the Head of Nursery – Grade 8

Coordinate and manage scheduling for the Early Childhood and Lower School Guidance team

Act as a liaison across divisions and with key stakeholders

Support communication flow and collaboration among internal departments

Responsibilities Include

Schedule meetings for the Head of Nursery – Grade 8 and Guidance team with faculty, parents, students, outside visitors, and Ramaz employees in other campuses

Coordinate and schedule leadership and Parents Council meetings throughout the school year

Serve as part of the Early Childhood and Lower School administrative support team, including answering incoming calls and assisting with general office functions

Assist in preparing presentations and assembling reports, including those of a confidential nature

Collaborate with administrative colleagues to manage daily operations and respond to the needs of students, families, and employees

Facilitate coordination between Early Childhood, Lower School, and Middle School leadership teams on behalf of the Head of Nursery – Grade 8

Support school initiatives and special projects led by the Head of Nursery – Grade 8

Communicate relevant updates to the communications department regarding events, programs, and schedule changes

Ensure the institutional advancement office is kept informed of opportunities that support fundraising ideas and efforts

Liaise with Human Resources and the Business Office on matters delegated by the Head of Nursery – Grade 8

Perform other duties as assigned by the Head of Nursery – Grade 8

Qualifications

Bachelor’s degree required

Minimum of three years of administrative experience

Experience working in a school setting or with children strongly preferred

Prior experience in scheduling or calendar management preferred

Proficiency in Microsoft Office 365 (Word, Excel, PowerPoint, Outlook) and Google Suite

Compensation

The salary range for this position is $65,000–$77,000, commensurate with experience and education.
