The Office Administrator is responsible for ensuring the smooth operations of a location by performing various administrative tasks and assistance in operations functions within the organization. The role is key in maintaining efficiency and compliance with company policies.

Main responsibilities and tasks:

This role is in-office/on-site five (5) days a week from 8am-5pm.
Multi-task function assisting various departments with project and other company needs as required.
Currently helping Human Resources, Safety, and Sales/Marketing department
Oversee and performs office invoicing for supplies and services, timekeeping of SYST employees, data entry, and helping with coordination of events.
Help with organizing BCUS events either for company or department functions
Help with budgeting on constantly bought supplies (cutting cost but not quality/quantity)
Maintain office setting and it’s amenities.
Ordering, tracking, and restock of office supplies
Break room(s) restock
Setting up conference rooms for meetings
Coordinate with cleaning crew about areas that need cleaning attention
Organizing office set-up.
Employees set-up in cubicles and offices
Proper office/cubicle identification
Office set-up of proper office supplies, furniture, and working with IT for proper computer set-up
Proper signage around and in building
Work with management team in creating expense reports to turn into payroll.
Sort and distribute mail and packages; drop off mail/packages to either USPS/UPS/FedEx based on priority.
Assist with scanning documents for various departments and placing them in folders and specific network locations.
Answer/forward calls and e-mails.
Manage agendas and appointments.
Assist colleagues through support whenever necessary.

Education/Experience/Languages

High School Diploma or general education degree (GED) preferred; Associated Degree a plus.
2+ years experience as an office administrator or related role.
Proficient in computer skills necessary to submit detailed reports, documentation, and enter data. Intermediate proficiency in Microsoft Excel and Word.
Excellent communication and interpersonal skills.
Must be able to work with little supervision.
Valid Identification card or driver license.
Read, write, speak and understand basic English. Ability to speak other languages a plus.
Attention to detail with organizing data and making sure it’s alphabetized and/or in numerical order.
Experience pricing and negotiating costs of supplies and services supplies.
Experience organizing travel and accommodations for incoming and outgoing employees.

Physical Requirements

Ability to perform the physical labor necessary.
Must be able to work overtime and weekends as necessary.
Frequently lift and/or move up to 30 pounds and occasionally push/pull up to 50 pounds with the use of proper lifting techniques and procedures.
Be able to sit as sedentary for up to 8 hours a day.
Substantial movements (motion) of the wrist, hands, and/or fingers in a repetitive manner.
Use fine manipulation of fingers and hands for up to 8 hours a day.
Ability to kneel, balance, push, pull, drive, stoop, and crouch.

Job Type: Full-time

Pay: $42,000.00 – $47,000.00 per year
