Job Description
Gunderson Dettmer has an opening for anAdministrative Assistant, in our Boston office. The Administrative Assistant will provide on-going clerical and program support to the members of the firm’s Office of General Counsel (“OGC”).
Job Responsibilities
Perform a broad range of administrative tasks. These include but are not limited to: creating, formatting, revising and editing Departmental and Firm documents, forms and publishable materials.
Organizing and maintaining paper and electronic filing in accordance with firm procedures and standards. Maintaining confidential and sensitive information at the most secure level.
Coordinating newsletter(s) publication, creation and upkeep of FAQs, and populating and curating internal subject matter sites. Keeping published documentation current.
Providing research assistance to OGC team members.
Assisting in insurance renewals and all forms of insurance paperwork.
Calendar and contact management, including scheduling meetings and conferences.
Coordinating travel and conference attendance for team members.
Job Requirements
Minimum of two years of administrative experience preferably in a law firm or professional services firm.
Advanced, proficiency in Microsoft Word, Outlook and Excel as well as other tools and databases, and document conversion applications, such as Nuance Power PDF or PDF Creator Plus. Familiarity with publishing tools a bonus.
Experience working within a Document Management System required.
HighQ or web development or familiarity a plus.
Excellent interpersonal, written (grammar, spelling, format) and verbal communication skills.
Demonstrated problem solving skills.
Ability to work collaboratively with all levels of the organization and demonstrate a team-oriented work style.
Excellent organizational skills and attention to detail.
Ability to effectively handle shifting priorities and adapt to changing demands in a fast-paced, dynamic environment.
Strong analytical and reasoning abilities.
Strict and complete adherence to maintaining confidential and sensitive information and displaying sound judgment regarding same.
Ability to work overtime.
Ability to travel for work.
Educational Requirements
BS/BA degree preferred.
Schedule
Monday through Friday, 8:30 a.m. to 5:00 p.m.
Hybrid: Expected to work in the Boston office a minimum of 4 days per week.
Status
Full Time, Non-Exempt
Reporting
Will have functional reporting to an Assistant General Counsel, but will provide support to OGC department heads/AGCs, currently numbering six (6).
