A DAY IN THE LIFE OF OUR EXECUTIVE ASSISTANT
As the Executive Assistant, you’re the vital link supporting our Executive Management and Board of Commissioners with your efficient communication skills. You love that your days are dynamic and varied, as you handle your wide array of high-level administrative tasks with precision and confidentiality.
You are happy to work behind the scenes managing Commission meetings, meticulously preparing agendas, minutes, and presentations, all while ensuring compliance with the Open Public Meetings Act (OPMA). You’re excited to attend evening Commission meetings 2-3 times per month, directly supporting the great work the Port does.
Your skill at anticipating needs ensures maximum efficiency for our leadership. You provide a wide array of confidential support to our Executive team, including managing communications and calendars, making travel arrangements, preparing expense reports, and so much more! Beyond daily support, you also prepare and edit critical documents like resolutions and contribute to the Port’s communication strategies. You take the lead in planning important events, from staff meetings to public open houses.
You appreciate that a unique and important aspect of your role is serving as the Port’s Public Records Officer. You process public records requests under the Public Records Act, oversee our records management program, and even lead the implementation of our Laserfiche repository. WHAT YOU NEED TO BRING TO THE TEAM
5+ years of administrative support experience, coupled with a track record of providing exceptional customer service.
High proficiency in the Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
Willingness and ability to obtain a Notary Public license.
The ability to obtain the Washington Association of Public Record Officers (WAPRO) certification within two years of hire (at no cost to you) and stay updated on legal developments impacting public records laws.
