Reporting to the General Manager, Urgo Medical Australia, this role is responsible for providing comprehensive administrative and operational support across the business, with a strong focus on marketing assistance and internal coordination.

The ideal candidate is proactive, highly organised, and capable of managing multiple priorities in a dynamic business environment. Strong communication and coordination skills are essential to succeed in this role.

About the Role

Provide comprehensive administrative support to the team, including senior management.

Manage multiple calendars, schedule meetings, and coordinate travel and accommodation arrangements.

Oversee logistics for company events, conferences, and internal meetings.

Handle office administration, including mail distribution, office supply management, purchase orders, and expense reimbursements.

Liaise with internal teams and external vendors to ensure smooth communication and coordination.

Maintain organized records, databases, and documentation.

Prepare reports, presentations, and correspondence as required.

Managing supplier relationships, including sourcing, onboarding, and ensuring timely delivery of goods and services.

Processing and managing business invoices, including reconciliation and coordination with the finance team to ensure timely payments.

Supporting the onboarding of new team members by arranging IT equipment, coordinating induction schedules, and acting as a central point of contact during their integration.

Providing basic IT support and troubleshooting in collaboration with external IT service providers, ensuring team members are equipped with functional systems and tools.

Assisting in marketing activities such as preparing promotional materials, supporting campaigns, and coordinating with external agencies or vendors.

Supporting cross-functional projects by gathering information, tracking progress, and ensuring timely execution of tasks and deliverables.

About You

1-3 years of experience in a similar role, preferably in the medical device or healthcare industry

Strong organizational and multitasking abilities

Excellent project management skills and ability to manage multiple priorities concurrently

Ability to adapt to a fast-paced and dynamic work environment

Excellent communication and interpersonal skills

Proven ability to work collaboratively in a team environment

Creative thinking and problem-solving skills

This role is a full-time on-site position based in the Melbourne office.
