Role Description This is a part-time hybrid Administrative Assistant role based in Mexico City, Mexico, with the flexibility to perform some responsibilities from home. The Administrative Assistant will support daily operations by managing schedules, coordinating meetings, and organizing digital and physical files. Key tasks include handling phone calls and email correspondence, preparing basic reports, assisting with data entry, and maintaining records related to editorial and business activities. The role also involves supporting executive staff with administrative requests, arranging travel or appointments as needed, and ensuring smooth communication across teams. The Administrative Assistant will collaborate with colleagues to improve workflows and maintain an organized, responsive office environment.

Qualifications

  • Strong Administrative Assistance and Clerical Skills to manage schedules, documentation, and daily office tasks.
  • Excellent Phone Etiquette and Communication skills to handle calls, emails, and internal coordination professionally.
  • Experience in Executive Administrative Assistance to support leadership with calendar management, meeting preparation, and follow-up.
  • Proficiency with office software (e.g., word processing, spreadsheets, email tools) and basic digital file management.
  • Organizational skills with attention to detail and the ability to prioritize multiple tasks in a fast-paced environment.
  • Ability to work effectively in a hybrid setting, demonstrating reliability, time management, and self-direction.
  • Fluency in English; Spanish language skills are an advantage for local coordination in Mexico City.
  • Previous experience in administrative or office support roles; experience in media or digital content environments is a plus.
