UT Health East Texas EMS/AIR 1 has more than 50 ambulances, three active helicopters and one helicopter in reserve strategically located across the region and emergency teams provide rapid access to care.

Responsibilities:

Types and maintains all correspondence (incoming and outgoing), statistical reports, schedules, special projects, requisitions.

Maintain an accurate and efficient filing system.

Answers, screens and directs telephone calls; relays messages, greets and screens vendors and visitors.

Maintain CEO schedule to include appointments and meetings.

Deals effectively with calls from administrative, governmental and political leaders.

Maintain follow-up file for CEO and provide ongoing status reports of activities.

Provide limited secretarial support to Management Staff.

Order and maintain supplies and arranges for equipment maintenance.

Arrange complex and detailed travel plans and itineraries.

Conduct research as needed for projects.

Maintain calendar for scheduling of Classrooms, Theater, and conference rooms.

Responsible for travel, checks, keys and time-off requests.

Responsible for monthly distribution of Response Compliance Reports.

Input monthly Stat Courier Invoices for validation.

Maintain monthly distribution of birthday cards.

Prepare report for EMS administrative annual meeting – Board Review of Ambulance Services.

Send out Medical Control Board notice of quarterly meeting, prepare agenda, and assemble packet for each physician.

Order and maintain beverage supplies for refrigerator in Conference Room #2

Acts as custodian of corporate documents and records.

Schedule appeals for employees who choose to appeal their termination.

Qualifications:

Associate’s degree (or equivalent from two-year college or technical school)orsix months to one year of related experience and/or training
