Position Overview:

We are seeking a highly organized and proactive Administrative Assistant to support our team. The ideal candidate will be a self-starter who can manage a wide range of administrative and office support activities to facilitate the efficient operation of the organization. This role requires excellent communication skills, the ability to manage multiple tasks efficiently, and a high level of confidentiality.

Key Responsibilities:

Manage email, mail, and courier services.

File and retrieve organizational documents, records, and reports.

Schedule and coordinate meetings, appointments, and travel arrangements for CEO.

Prepare agendas for meetings and prepare schedules. Record, compile, transcribe, and distribute minutes of meetings.

Assist in the preparation of budgets and expense reports.

Monitor and maintain office supplies inventory. Review and approve office supply acquisitions.

Conduct research, compile data, and prepare reports for consideration and presentation by executives, committees, and boards of directors.

Assist in project management by coordinating with internal and external stakeholders as needed.

Internal process auditing and improvement

Perform cross functional duties and administrative tasks with various departments.

Maintain office efficiency by planning and implementing office systems, layouts, and equipment procurement.

Other related tasks, as per the needs of business.

Occasional travel to office in Salinas may be requested from time to time.

Qualifications:

Knowledge of office management systems and procedures.

Proficiency in MS Office (MS Excel and MS PowerPoint, in particular).

Excellent time management skills and the ability to prioritize work.

Attention to detail and problem-solving skills.

Excellent written and verbal communication skills.

Strong organizational skills with the ability to multi-task.

High School degree; additional qualification or experience as an Administrative assistant or Secretary will be a plus.

Location:Hollister, CA (Work from office, Not a remote position)
T*ype:* Full-Time, Monday through Friday 8.30 AM – 5 PM
