Full Job Description

We seek a dependable Administrative Assistant to undertake various administrative duties. The role involves providing assistance to our legal team, managing daily office tasks, and overseeing general administrative operations. Responsibilities include generating reports, maintaining filing systems, and assisting with certain accounting tasks. This position requires attention to detail, especially in handling and processing legal documents, with a strong grasp of English grammar and written communication. The ideal candidate will possess excellent verbal and written communication skills and proficiency in organizational tools such as MS Excel and Teams. Previous experience as a secretary or executive administrative assistant, along with industry familiarity, is desirable. Ultimately, the successful candidate will ensure the smooth and efficient functioning of our office on a day-to-day basis.

Responsibilities

Answer and direct phone calls

Write and distribute email, correspondence memos, letters, faxes, and forms

Assist in the preparation of regularly scheduled reports

Develop and maintain a filing system

Update and maintain office policies and procedures

Provide general support to client inquiries

Act as the point of contact for internal and external clients

Liaise with executive and senior administrative assistants to handle requests and queries from senior managers

Lead preparation and execution of Legal Documents

Skills

Proven experience as an administrative assistant or office admin assistant

Knowledge of office management systems and procedures

Working knowledge of office equipment, like printers and fax machines

Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)

Excellent time management skills and the ability to prioritize work

Attention to detail and problem-solving skills

Excellent written and verbal communication skills

Ability to effectively review and correct documents

Strong organizational skills with the ability to multi-task

Legal experience is preferred but not required

High School diploma or equivalent; additional qualification as an administrative assistant or secretary are plus
