POSITION SUMMARY:
Marathon Petroleum Company, LP has an immediate opening for a Multi-Functional Administrative Assistant at its Galveston Bay Refinery. This multi-functional Administrative Assistant role serves as the main source of administrative support for the Technical Services and Continuous Improvement departments, and supplemental support for the Supply Chain and Accounting Directors. The successful candidate will have strong organizational, interpersonal and communication skills and be able to work in a team environment.
KEY RESPONSIBILITIES:
Serves as the Administrative Assistant for the Technical Services and Continuous Improvement departments, as well as supports various client groups, completing a variety of administrative tasks to assure the efficient operation of the office on a day-to-day basis in a professional and confidential manner.
Develops and maintains necessary records and files for efficient operation of the Technical Services and Continuous Improvement Departments, in accordance with MPC’s record retention standards. Reviews documents and saves them in the document management system.
Schedules meetings, organizes events, and arranges catering when necessary.
Prepares copies, collates, binds, and distributes reports and presentations as needed.
Owns and manages the schedule for the Technical Services and Continuous Improvement Directors.
Tracks vacation and sick time for various client groups as directed.
Oversees administrative responsibilities for onboarding new employees in the Technical Services and Continuous Improvement Departments.
Maintains office materials and supplies.
Runs reports and gathers data as needed for the Technical Services and Continuous Improvement Directors and other department leads that he or she supports.
Maintains the SharePoint sites for Continuous Improvement/Technical Services.
Enters requisitions/reservations/off-site purchase orders.
Coordinates access for visitors.
EDUCATION AND EXPERIENCE:
High school diploma or equivalent is required. (Education must be obtained/completed prior to start date)
Minimum 2 years of clerical/administrative support experience is required.
At least 3 plus years of relevant work experience is preferred.
Completion of a 2-year Associate’s is preferred.
Proficient in Microsoft Office (Word, Excel, Outlook) is required.
