Job Summary:
The Administrative Support Specialist ensures operational efficiency in administrative functions related to the executive positions of: Chief Administrative Officer (CAO), Chief Technology Officer (CTO), Chief Marketing Officer (CMO), and Chief Legal Officer (CLO). This role involves scheduling, financial processing, and administrative support for various executive needs.

Key Responsibilities:
Calendar, Scheduling, and Meeting Management:
Provide calendar and meeting support, including scheduling and tracking executive commitments.
Schedule and prepare agendas for operational and governance-related meetings.
Facilitate IT governance meetings, including scheduling, agenda preparation, and follow-up documentation.
Facilitate FLDC LLM Board of Managers meetings, including scheduling, agenda preparation, and follow-up documentation.
Plan and coordinate internal and external events, including logistics, invitations, and follow-up communication .
Coordinate travel plans, including booking flights, accommodations, and transportation.
Prepare detailed travel itineraries and ensure all necessary travel documents are in order.
Assist in organizing conferences, workshops, and seminars, ensuring all arrangements are in place.
Expense and Financial Management:
Process and track expense reports and approve reimbursements for direct reports and leadership team members.
Ensure proper documentation and adherence to organizational policies in all financial processes.
Monitor and track budgets for administrative and operational functions.
Assist with administrative support for operational and financial documentation.
Administrative and Documentation Support:
Liaise with vendors and service providers to ensure timely delivery of services and supplies.
Manage contracts and agreements, ensuring compliance with terms and conditions.
Manage document storage and retrieval processes for administrative records.
Provide support for cross-functional administrative needs as assigned by the Senior Leadership Team.
Provide basic technical support and troubleshooting for specified executive team members.
Policy and Procedure Implementation:
Assist in the implementation of organizational policies and procedures to streamline administrative efficiency .
Special Projects:
Support special projects and initiatives as assigned by the Executive Operations Senior Manager, CAO, CMO, CTO, and CLO.
Conduct research and gather information to support project objectives.
Other:
Perform other duties as assigned.
Qualifications:
E ducation : Bachelor’s Degree preferred.
Experience: Minimum 2-3 years’ experience in Executive Office
Technical Skills: Proficient in Microsoft software applications, including Teams, Word, Excel, Outlook, and Power Point

Physical Demands/Work Environment
Physical Demands:
Prolonged periods sitting at a desk and working on a computer.
Occasional walking and standing are often necessary in carrying out job duties.
Ability to lift up to 20 pounds at a time (meeting materials, etc.).
