Position Summary: Under the direction of the Homeschool Directors, the Administrative Assistant supports day-to-day operations of the Elite Homeschool Academy. The role balances administrative support with homeschool-specific tasks: processing student and family purchase requests in our ordering system, coordinating with Community Relations and Accounts Payable, assisting with enrollment into Elite in-house classes, supplemental activities, and approved online programs, maintaining internal resources (spreadsheets, ordering instructions, homeschool website), and collaborating with the Homeschool Team. The position helps support the Administrative Team with clerical duties to ultimately support the teachers and student community.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Serve as secretary to the assigned Academy Directors.
Review and track student/family purchase orders in the digital purchasing system, ensuring compliance with Elite guidelines for materials and services, as well as budget allocations.
Liaise with Elite Departments such as Community Relations and Accounts Payable to monitor order status, resolve discrepancies, and confirm vendor payments.
Manage clerical side of signing students up for approved Elite in-house classes, supplementals, and online platforms (e.g., Edmentum, ALEKS, Mr. D, etc.).
Exercise independent judgment in resolving issues and refer difficult issues to the administrator as necessary.
Provide technical information and assistance related to department or program operations, policies and procedures.
Assist Teachers with basic information on orders and class sign-ups.
Meet regularly with Academy Directors to collaborate on goals and streamlined systems.
Research, compile and verify information independently.
Process and evaluate forms and applications related to assigned functions. Duplicate and distribute materials as needed.
Compose, independently or from oral instructions, notes or rough drafts, materials including inter-office communications, applications, requisitions, forms, contracts, letters, memoranda, bulletins, flyers, brochures, agenda items and other materials; review and proofread documents. Prepare lists, forms, contracts and correspondences as assigned.
Follow established procedures and meet deadlines.
Coordinate, schedule and attend meetings
Other Duties:
Proctoring duties as needed during the testing window.
Respond to all school related written correspondence, phone calls, voicemails, and emails within 24 business hours.
Perform other duties as assigned to assist Academy needs

EDUCATION AND EXPERIENCE: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
A valid, current, and appropriate California state teaching credential for teaching staff. A copy of Teaching Credential to be provided and kept current.
Valid California Driver’s License.
