The Malta Community Chest Fund Foundation is seeking to recruit a highly motivated and well-organised individual to join its team as an Administration Assistant. This is an exciting opportunity to play a key role within a dynamic environment and to contribute to the Foundation’s mission of supporting individuals and families in need across Malta and Gozo.
Position Overview
The selected candidate will work directly under the supervision of the Head of Finance and Operations, supporting the executive office in bridging operational gaps and ensuring smooth coordination between the Events, Human Resources, Finance, and Customer Care departments. This is a pivotal administrative role that requires excellent organisational skills, discretion, and the ability to liaise effectively across departments.
Key Responsibilities
Provide day-to-day administrative support , including scheduling, correspondence, document preparation, and file management.
Act as a central point of contact and coordination between the Events, HR, Finance and Customer Care departments, facilitating seamless communication and collaboration.
Assist in the preparation and follow-up of internal meetings, ensuring action points are tracked and completed.
Support in the planning, coordination, and execution of Foundation events and initiatives.
Maintain accurate records, reports and internal documentation to ensure administrative continuity.
Liaise with internal and external stakeholders on behalf of the executive office as required.
Draft internal communications and assist with the preparation of reports and presentations.
Perform any other administrative duties as may be required in line with the Foundation’s operations.
Required Qualifications and Experience
A recognised post-secondary qualification (MQF Level 4 or higher) in Business Administration, Management, Public Administration or a related field.
A minimum of 2 years’ experience in a similar administrative or coordination role, preferably within a not-for-profit, public sector or corporate environment.
Strong command of both Maltese and English, written and spoken.
Excellent computer literacy, with proficiency in Microsoft Office applications (Word, Excel, Outlook, PowerPoint).
Strong organisational, planning, and multitasking skills, with a keen eye for detail.
Ability to work independently, exercise initiative and handle sensitive information with the highest level of discretion.
Strong interpersonal and communication skills, with the ability to work with stakeholders at all levels.
Desirable Attributes
Familiarity with the voluntary or charitable sector in Malta.
Experience supporting senior management or executive-level roles.
Positive, can-do attitude with a commitment to the mission and values of MCCF.
Employment Type:
