Division: Roadway & Outdoor Specialty Division

Location: Brooklyn, NY

This position reports directly to the Executive Vice President of E-J Electric Installation Co. The ideal candidate possesses natural organizational talents and a strong professional foundation. Someone who enjoys taking the initiative and can work intuitively to manage all levels of tasks, duties, and projects as assigned.

Responsibilities

Enter certified payroll into the system and print reports weekly

Prepare committed cost reports monthly

Handle subcontractors’ monthly compliance documents

Work with Project Managers to adjust change orders

Work with Project Managers to add vendors, split cost of line items, and adjust payments accordingly

Send vendors documents to sign off on (when there is a change in the quantity or pricing)

Create expense reports as needed

Maintain office staff attendance report to cross reference with Payroll Manager annually

Ensure new hire paperwork is completed correctly, and submit to Payroll/Submit personnel-related requests to accounting

Submit project close-out documents

Track auto accidents

Maintain CONY portal updates

Handle staff catering as needed

Work with the Safety Administrator to set up employees with necessary courses (ie Safety)

Handle bond requests

Complete client prequalification forms

Handle / Renew Sam.gov registrations

Qualifications

5+ years’ experience working one-on-one with a top-level executive

Highly motivated team player

Excellent communication skills, both verbal and written

Must possess natural organizational talents and the ability to multi-task in a fast-paced environment

Ability to foresee needs and come up with solutions to problems quickly

Proficient in MS Office Suite

Salary Range: $60k-$70k/year
