Clerical Specialist – Public Records
Full-time, Hourly
Salary Range: $16.70 – $25.05

Job Summary
The Clerical Specialist position will provide administrative support to the Public Records Division of the Milwaukee County Sheriff’s Office. They will use multiple programs to compile responsive records and provide necessary redactions to fulfill public record requests that are submitted by various organizations and citizens. These organizations include but are not limited to law enforcement agencies, law firms, insurance companies, and other government agencies. Staff will also maintain spreadsheets on the status of each request and send out all necessary itemized billing invoices for completed requests.

Job Responsibilities

Data Entry and Records Requests – Receives, files, assigns record numbers, and prepares billing invoices. Compile billing invoices for each request when necessary and handle payments as they are received.
Locating Records – Uses various computer programs to locate and retrieve responsive documents to the public record request. This can include documents, photos, videos, etc. Documents will also need to be redacted as deemed necessary.
Window and Phone Inquiries – Public records requests can be submitted both in person and over the telephone. Public Records staff will provide assistance to citizens who wish to come in person to file a public records request.
At times, staff will need to complete follow-up correspondence with requestors for clarification on records requests. This may be by means of email, telephone, fax, or U.S. mail.
Other duties as assigned.

Required License/Certification, Education and Experience

Current residency within the State of Wisconsin
High School Diploma or GED required.
At least one (1) year of clerical work experience required.
Intermediate in of all related computer and software applications, such as Microsoft Word and Excel required.

Preferred Experience:

Basic knowledge of the WI Public Records Statues and Laws and how they pertain to law enforcement agencies preferred.
Basic experience with TIME Systems, CCAP, Badger TraCS, Phoenix RMS/CMS, OnBase, Arbitrator, Evidence.com, IC Solutions, and VitalWeb preferred.
Basic experience with Microsoft Access Open Records Database preferred.

Knowledge, Skills, and Abilities:
Knowledge of office/customer service principles, methods, and practices; oral and written communication skills; analytical skills, basic math skills, skill in data entry and in using a personal computer. Plan and work independently in a fast-paced environment; ability to maintain confidential information. Ability to make decisions of responsibility involving evaluation of information; Ability to proficiently answer incoming calls and provide accurate information without providing legal advice or insertion of personal opinions. Ability to lift, carry, push, and pull up to 10 lbs.
