Municipal Administrative Assistant

Permit Clerk / Utility Clerk / Court Clerk

Job Description:

TheMunicipal Administrative Assistant is responsible for clerical and accounting work performed in city hall. The team member occupying this position is responsible for assisting with the maintenance of the permit records, utility billing accounts, cash receipting, creating mailings and maintaining records for the Planning & Zoning Board and attending all the P&Z meetings, answering phones, providing general customer service, and maintaining clean and orderly office space.

There may be work projects that need to be produced in a timely manner and other office tasks as deemed necessary, without direct supervision. This description is not intended to be all-inclusive. The employee may perform other related duties as negotiated to meet the ongoing needs of the organization.

Qualification Requirements:

Typical administrative practices and processes associated with local government offices or functions or possess the ability to acquire and put such knowledge into practice.
Candidate must have experience in cash handling, 10 key, and touch typing.
General computer operations, specifically familiarity with Microsoft Office software.
Accounts payable experience required, Fundview Software knowledge is a plus.
Office machines, such as scanners, computers, copier and fax machine; and office practices and procedures.
Able to maintain a pleasant and courteous demeanor working in a fast-paced environment responding to a high volume of tasks, phone calls, and emails.
Establish and maintain an effective working relationship with all levels of management, City officials, vendors, other employees, and the general public.
Communicate effectively in person, by telephone, and by e-mail with all levels of management, City officials, vendors, other employees, and the general public.
Meet deadlines and perform multiple tasks under pressure.
Effectively respond to a stressful or high-pressure environment.
Organization and multi-tasking are very important.
Basic ability to read and requires the basic knowledge of grammar and spelling.
Basic mathematical, in order to calculate fees, work hours and sufficient math to complete reports and basic bookkeeping skills.
Able to perform multiple tasks efficiently and apply knowledge of procedures to fulfill essential job duties.
Ability to organize, prioritize, and carry out office work with minimal supervision.
Maintain a professional appearance and attire.

Education/Experience Required:

High School diploma/GED required.
One to two years of experience in administrative work preferably in a Municipal Office or Utilities department, or any equivalent, combination of education, training and experience that demonstrates the ability to perform the duties of the position.

Other Requirements:

Valid Texas Class C Driver’s License with satisfactory driving record, as defined by City policy.
Ability to commute and/or relocate before starting work – Office located in Whitewright, Texas.
Proof of citizenship and/or eligibility to legally work in the United States.

Preferred Certification:

First Aid and CPR/AED

Full Time
Pay Starting at $15.00 up to $22.00

Schedule:

Monday to Thursday 7:30 am – 5:00 pm
Friday 7:30 am – 1:00 pm

Must be able to handle stressful situations.
Must possess mental acuity for attention to accuracy and detail.
Must see in the normal visual range with or without correction.
Must hear in the normal audio range with or without correction.
