– The Administrative Support Specialist will provide a variety of complex administrative functions for all levels of management, including external business partners. They will manage schedules, coordinate travel arrangements, process business expenses, and coordinate meetings and events. Additionally, they will handle department financial operations, personnel operations, facility operations, procurement of goods and services, and general office support. This role will support the LATAM team

They contribute to the team’s smooth operation and ensure that schedules, travel arrangements, meetings, and events are well-managed. Responsibilities and Duties:
– Manage schedules for managers and external business partners
– Coordinate travel arrangements, including booking flights, accommodations, and transportation
– Process business expenses and maintain accurate records
– Coordinate meetings and events, including scheduling, logistics, and coordinating participants
– Handle department financial operations, such as budget tracking and processing invoices
– Assist with personnel operations, including HR-related tasks and documentation
– Manage facility operations, such as office supplies procurement and vendor relationships
– Provide general office support, including answering phone calls, responding to emails, and organizing documents
– Complete special projects as assigned
Top skills
Proven experience in calendar management and travel coordination
Strong time management and organizational skills
Experience with MS Office Suite
Customer service experience, both internal and external
Previous experience supporting multiple executives
