About Us

The Iowa Primary Care Association (Iowa PCA) has supported Iowa’s community health centers for over 36 years to expand access to affordable, high quality, integrated care. The Iowa PCA, along with our sister companies INConcertCare (INCC) and IowaHealth+ (IH+), provides training, technical assistance, and shared services opportunities in quality improvement, value-based care, health information technology, and other areas. We are now expanding our services through a new partnership with Iowa Health and Human Services to serve as the new statewide Behavioral Health Administrative Service Organization (BH-ASO). It’s an exciting opportunity to expand our efforts and connection to the broader behavioral health safety net.

Position Overview

The Office & Administrative Assistant provides administrative support to C-Suite and/or Senior Director level staff, as well as specific committees and work groups supporting the organization and our members. This position assists on priority tasks as assigned by the C-Suite and/or Senior Directors. Under the direction of the Senior Executive Assistant, the Office & Administrative Assistant will be responsible for a variety of administrative functions and office management activities for the organizations to ensure smooth and timely operations.

Key Responsibilities

Executive Support and Senior Director Support

Represents the organization internally and externally in a courteous, professional manner projecting a positive public image. Is welcoming to visitors and expresses a confident, positive tone with staff.
Effectively and independently coordinates calendars and schedules appointments, meetings, conference calls and arranges complex and detailed travel plans including flights, hotel reservations, conference registrations, and Community Health Center site visits.
Prepares C-Suite and Senior Director payroll and expense reimbursements.
Prepares C-Suite and Senior Director receipts and reconciles monthly credit card statement.
Manages multiple priorities while assisting Leaders in the drafting of meeting notes and meeting materials and generally supports Leadership Team members to ensure smooth operations.
Sensitively handles highly confidential matters.
Composes, edits, and proofreads professional business letters, memos and email and other complex documents and non-routine correspondence on behalf of the Leadership Team and the organization with precise attention to detail.
Assist Senior Directors in providing administrative support (such as scheduling, agenda creation, and taking notes/minutes) for monthly Team meetings and other ad hoc meetings as requested.
Assists Senior Directors and Senior Executive Assistant as needed with in-person event and meeting preparation to include but not limited to administrative activities for Iowa PCA Annual Conference, internal and external training sessions and meetings, All Staff meetings and Monthly Connections.

Project/Team Specific Administrative Support

Administratively supports responsible and accountable team members for committees, work groups, and projects as assigned including meeting scheduling, agenda development, meeting notes, and communication with attendees.

Office Management & Other Administrative Support

Greet guests and maintain a neat and welcoming office environment.
Administers organization’s overall day-to-day office activities, including the ordering of office materials and equipment generally and upon staff request and maintains relevant standard operating procedures (SOPs) on all administrative functions.
Serve as main point of contact to greet guests in a timely and friendly manner, inform involved staff of guest arrivals and provide meeting location directions or waiting instructions to guests; offer coffee/water/soda.
Manages the organization’s main phone line and transfers calls in a friendly manner to appropriate staff.
Coordinates with vendors as appropriate and maintains overall housekeeping, maintenance, and repairs of office facilities.
Ensures printer room and supplies are organized, boxes are opened, and contents distributed.
Maintains and updates the Health Center Directory semi-annually.
Distributes mail and packages daily.
Keeps beverage cooler filled for meetings and guests.
Ensures food and beverage and needed serving utensils are available and prepared for large in office meetings named above.
Runs errands to Sam’s Club, Hy-Vee, etc. to restock supplies.
Responsible for overall cleanliness and organization of break room and common areas.
Serves as back up to the Senior Executive Assistant and Administrative Assistant as needed.

Qualifications/Experience

Associates degree required, Bachelor’s degree preferred, from an accredited community college or college/university, with major course work in business administration, public administration, human resource or a related field.
Minimum of three years of administrative support to senior leaders or vice presidents and office management experience.
Extensive software skills with MS Office required, as well as Internet research abilities and strong communications skills.

Work Schedule

This position requires team member to work on-site 5 days per week.
