JOB DESCRIPTION

We are seeking a highly organized and detail-oriented Administrative Assistant to support our team with various administrative tasks. The ideal candidate will be proactive, efficient, and capable of handling multiple responsibilities in a fast-paced environment.

Key Responsibilities:

Manage and organize office operations and procedures.

Schedule and coordinate meetings, appointments, and travel arrangements.

Prepare and edit correspondence, reports, and presentations.

Maintain filing systems, both electronic and physical.

Handle incoming calls, emails, and other communications.

Assist in the preparation of regularly scheduled reports.

Provide general support to visitors and staff.

Additional Responsibilities:

· Organize and update job schedule for Construction team

· Assist in the preparation of regularly scheduled reports

· Order office supplies and research new deals and suppliers

· On-board new employees

· Support IG’s client management team and employees, assisting in daily office needs and managing the company’s general administrative activities.

· Arranging travel and lodging for management and crews traveling to complete work for customers.

· Communicate effectively with internal and external stakeholders to gather information and facilitate project progress.

· Review Weekly Vehicle Inventory and Condition Checklists from the team -Facilitate reminders to team on vehicle inspections and periodic maintenance needed on the vehicles

· Review Daily Field Reports (DFRs) from the team and send to customers/stakeholders

· Assist the team in Site Access/Badging applications. (Many of our jobs require background checks)

· Handle various administrative tasks such as filing, organizing documents, and managing office supplies.

Must Haves:

High school diploma or equivalent; associate’s or bachelor’s degree preferred.

Proven experience as an administrative assistant or in a similar role.

Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).

Excellent time management skills and ability to prioritize tasks.

Strong organizational and multitasking abilities.

Excellent written and verbal communication skills.

Attention to detail and problem-solving skills.
