Position Summary:
The Administrative Assistant is a critical part of the Spiritual Life and Disability Services teams, performing a variety of administrative duties in support of each department. This is an in-person, part-time, shared position that will serve students in both areas with a specific schedule for responsibilities in each department for a total of 25 hours per week. This person provides a professional, calming presence as they welcome students to the Disability Services office and to Butler Chapel. The Administrative Assistant maintains the Spiritual Life department budget and provides support for events and care of Butler Chapel. In Disability Services, the administrative assistant supports test proctoring and coordinates social media and marketing. The position requires the ability to multi-task and prioritize compassionate customer service. This position also requires flexibility, strong organizational skills, self-initiative, positivity, support of the team, and compassion for others.
Essential Duties and Responsibilities:
1. Reception
a. Greet and assist students and visitors in the Disability Services office and Butler Chapel.
a. Proctor tests and quizzes for students with disabilities, ensuring accommodations are provided and procedures are followed.
b. Respond to telephone inquiries and address the needs of callers promptly and professionally.
c. Join the Spiritual Life team in welcoming students to Butler Chapel for Campbell’s Connections courses.
2. Administrative/Clerical
a. Support the Spiritual Life team in maintaining the department budget and expenditures. Handle requisitions, receiving reports, credit card reports, office supply orders, and other processes related to the budget.
b. Provide event planning support for Spiritual Life, including booking for Butler Chapel, procurement of supplies and technology needs, and coordination with outside groups/individuals using the space.
c. Support Disability Services and Student Well-Being staff in developing marketing and social media strategies, including content and publicity material creation.
d. Work collaboratively with other campus departments and resources. This position supports larger University events including worship services, lectures, open house events, new student orientation and matriculation events. Occasional nights and weekends are needed for these larger events.
e. Maintain a professional appearance and demeanor at all times.
f. Uphold and abide by all Campbell University policies and procedures, including but not limited to; Title IX and FERPA guidelines.
g. Other job-related duties, responsibilities and activities may change or be assigned at any time, with or without notice.
Education/Experience:
Minimum of an Associate’s degree required or commensurate experience, Bachelor’s degree preferred
At least 2 years of experience providing administrative support is preferred
It is preferred that the experience be with a young adult population (age 15 to 29 years of age)
Knowledge, Skills, and Abilities:
Strong skills with basic administrative software (MS Office products) and a willingness to learn new systems
Compassionate and empathetic individual who can work professionally and kindly with students and staff
Creative problem solving and strong organizational skills
Ability to manage multiple demands in a fast-paced environment
Ability to prioritize yet remain flexible to handle emergent tasks and crises as they arise
Demonstrate excellence in written and communication skills, and proficiency in interpersonal interactions; ability to respond well to department clientele in person, by telephone, and via mail
Follow established procedures to ensure that students are served well, and department requirements are met
